Company specialized in heavy equipment and services is searching for Financial /Accountant assistant with high communication and interpersonal skills, initiative, able to work under pressure, high attention to details, ability to work on a multicultural environment, team player, and motivator to join our team!
Job Based in Portugal - Head Office with Probability of traveling regularly amongst offices abroad.

DESCRIPTION: 

The Financial /Accountant assistant shall be responsible for the day-to-day operational finance processes at the area level, coordinating company budget preparation/reviews, prepare budgets for all related projects, business areas, countries, and departments ensuring adherence to Company policies.

Generic Responsibilities  

  • Implement effective, efficient and transparent finance systems that support the delivery of the Country and or Business area Strategic Plan and individual projects at area level.
  • Ensure adherence to Company's financial handbook and procedures, other Company policies, and legal requirements.
  • Manage data, records, and reports by checking for errors and verifying the accuracy of information
  • Manage Finance staff and other team member inputs at the area level and follow up day-to-day operations in the finance accountability sphere.
  • Prepare spreadsheets for data entry, budgetary, estimates, bidding procedures, invoices, etc.
  • Assist in creating and setting budgets, preparing respective procedures
  • Take direction from and report to management
  • Provider Capacity and build on financial procedures and contribute to the improvement of the finance function in the areas.
  • Provide financial reports and any other financial management reports as required.
  • Maintain budget control and monitor cash flow for the business area and projects. 
  • Ensure proper filing of all financial documents and reports.
  • Independently prioritize daily tasks and responsibilities
  • Provide stellar customer service to our clients and be informed on all company policy and practices (including data privacy)
  • Attend and take notes at all department meetings related direct and indirectly to financial
  • Assist with audits as necessary
  • Adhere to current accounting/finance laws and regulations
  • Work according to company standards
  • Keeping company personal accounting qualifications up to date
  • Researching and resolving discrepancies in a timely fashion
  • Ensure that Company related activities are implemented within Company guidelines and report any breaches/concerns, mistakes, or discrepancies to management for proper action. 

Specific Responsibilities  

  • Developing financial strategy, including risk minimization plans and opportunity forecasting
  • Regular budget consolidation
  • Cash flow management
  • Improving efficiencies and reducing costs across the business
  • Ensure that cash and bankbooks records are updated, ensuring that all coding is in line with company procedures, tax coding, database records, and country tax system. 
  • Participate in budget preparation for new proposals, grant applications, budget revisions to ensure compliance with company planning and strategies defined
  • Prepare budget forecasts/analysis and assist in Master budgets preparation & revision at the area level.
  • Review financial transactions and ensure that the supporting documents meet company processes assuring trackability, supporting documentation, and registers
  • Debt management and collection
  • Support in area-level month/project and year closures as per company and legal procedures.
  • Ensure spot checks and compliance checklists are done on regular basis.
  • Assist with Internal and External Audits at area level as needed.
  • Developing financial reviews and providing investment advice
  • Payroll processing
  • Participate in tender openings with the Procurement team. 
  • Coordinate closely with other departments and Project Managers and Staff to ensure proper communications and work between program and Finance function. 
  • Ensure optimal allocation of expenses in line with approved budgets and projected expenditures (master budget, allocation tables, etc.). 
  • Follow-up all the legal procedures/Compliance with Lawyer.
  • Setting up fair compensation schemes, based on performance and completion of objectives
  • According company plan & Strategy shall determine objective settings, probation, performance appraisal, development of staff, managing performance, including poor performance, etc.
  • Accountable for people management including hiring & firing
  • Prepare all the financial reports to be submitted to the local authorities
  • Implement any other Finance related task as requested by the administrators and accountant

 

Financial Assistant Requirements/Skills and Qualifications

  • Minimum bachelor diploma or equivalent required
  • Preferred associate’s or bachelor’s degree in accounting, finance, or related field
  • Mathematical and accounting acuity
  • Professional demeanor and excellent customer service skills
  • Knowledgeable in basic accounting/bookkeeping practices and processes
  • Computer knowledge and experience using Microsoft package (mainly Excel) and other accounting and data input software, management software
  • Strong organizational and time-management skills
  • Thrives working both independently (a self-starter) and collaboratively
  • Dependable, respectful, and consistently works to uphold company ethics and standards
  • Excellent verbal and written communication skills
  • Mathematical skills and good knowledge of accounting and budgeting principles
  • In-depth understanding of analytics 
  • Ability to work as a part of a team
  • Ability to prioritize work and meet deadlines
  • Attention to detail and accuracy
