ABOUT ROOM 24
Room 24 is a London-based premium swim and resort wear brand, designed in-house and manufactured at our own ISO-certified atelier using Italian recycled eco-Lycra and signature gold hardware. We're a small, fast-moving team — this role will work closely and directly with the Founder across e-commerce, wholesale operations, and content.

ROLE OVERVIEW
We're looking for an organised, detail-oriented coordinator to own the day-to-day operational backbone of Room 24: our Shopify store, our inventory system (Uphance), our sales channel integrations (including Wolf & Badger), our shared content library (Dropbox), and our recurring sales reporting. This is a hands-on, entry-level role with training provided — ideal for someone highly organised, comfortable with digital tools, and eager to grow into a broader e-commerce/operations position.

KEY RESPONSIBILITIES
Shopify Store Management
— Upload and maintain product listings: input photos, write product descriptions, set pricing, variants and tags
— Carry out weekly product checkups
— Check for broken listings, missing info, out-of-stock items, and inconsistencies
— Keep the store visually and structurally up to date ahead of launches and campaigns
Inventory & Operations (Uphance)
— Data entry and ongoing maintenance of products, stock levels and orders in Uphance
— Regularly audit Uphance records against Shopify and wholesale channels to catch discrepancies
Content & File Management (Dropbox)
— Organise, file and maintain all brand content (photography, product shots, campaign assets) in a clear, consistent folder structure
— Ensure the team always has access to the latest, correctly labelled files
Sales Channel Integrations
— Check and maintain integrations with sales channels including Wolf & Badger and other stockist/marketplace platforms
— Ensure product data, stock and pricing stay correctly synced across all connected platforms
— Troubleshoot and flag integration issues before they affect sales
Reporting & Analysis
— Prepare monthly and quarterly sales and returns reports for Wolf & Badger and Shopify
— Maintain historical sales records and produce basic trend/performance analysis for the Founder
Linesheets & Visual Assets
— Create and design wholesale linesheets in the Room 24 brand style
— Resize and reformat product photography for different platforms (Shopify, wholesale, marketplaces, social)
— Use AI image tools to generate missing product images where photography isn't available
Gifting, PR & Orders/Returns Tracking
— Maintain and update the influencer and PR gifting list, including loans and press sends
— Track all orders, sales, returns, exchanges and gifted product across channels
Fabric Swatches
— Create and maintain the physical and digital stock fabric swatch library
Fulfilment, Courier & Warehouse Coordination
— Act as the day-to-day point of contact with our fulfilment/warehouse partner and couriers (e.g. DHL, Spring) on order dispatch, delays and lost-parcel claims
— Investigate and follow up on delivery, customs or tracking issues until resolved
— Check courier and fulfilment invoices against agreed rates and flag discrepancies
Customer Service
— Respond to customer queries, complaints, returns and refund requests across email and the Shopify inbox in a friendly, on-brand tone
— Use AI tools (e.g. ChatGPT) to help draft accurate, well-written customer responses and internal templates
— Escalate unresolved or sensitive cases to the Founder

WHAT WE'RE LOOKING FOR
— Highly organised, detail-oriented, and comfortable juggling multiple recurring tasks
— Confident with digital tools and willing to learn new software (Shopify, Uphance, Dropbox — training provided)
— Basic photo editing skills (Canva, Photoshop or similar); comfort using AI tools for images and written copy (e.g. ChatGPT) is a plus
— Calm, clear, and courteous when handling customer queries or delivery issues
— Good working knowledge of Excel/Google Sheets for reporting
— Strong written English for product copy
— Reliable, proactive, and comfortable working closely with a small founding team
— An interest in fashion, e-commerce or the swimwear/resortwear industry is a plus
