Position Overview:

We are currently seeking an experienced and organized Executive Secretary to provide high-level administrative support to the CEO of Altest Gulf. The Executive Secretary will be responsible for managing the CEO's schedule, coordinating meetings and appointments, and handling various administrative tasks to ensure the smooth and efficient operation of the CEO's office.


Responsibilities:

  • Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements, and ensuring that all commitments are met in a timely manner.
  • Coordinate and prioritize incoming requests and correspondence for the CEO, including emails, phone calls, and meeting requests, and respond or delegate as appropriate.
  • Prepare and distribute meeting agendas, documents, and presentations for internal and external meetings attended by the CEO, ensuring that all participants are well-informed and prepared.
  • Attend meetings with the CEO as required, taking notes, recording action items, and following up on action items to ensure timely completion.
  • Act as a liaison between the CEO and internal departments, external stakeholders, and clients, communicating information, requests, and instructions effectively and confidentially.
  • Assist the CEO in preparing reports, presentations, and other documents, ensuring accuracy, consistency, and professionalism in content and formatting.
  • Coordinate special projects and initiatives as assigned by the CEO, providing administrative support and ensuring successful execution and completion.
  • Maintain confidentiality and discretion in handling sensitive information and communications related to the CEO's office.
  • Contributing to a functional work atmosphere by supervising office management tasks, from supplies to technical support.

Skills

Requirements:

  • Bachelor's degree in Business Administration, Secretarial Studies, or related field.
  • Proven experience as an Executive Secretary or similar role, supporting senior executives in a fast-paced and dynamic environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Strong communication and interpersonal skills, with the ability to interact professionally and confidently with individuals at all levels.
  • High level of attention to detail and accuracy in handling administrative tasks, including scheduling, correspondence, and document preparation.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and confidentiality in handling sensitive information and communications.
  • Multi-lingual. Fluency in English is required; proficiency in Arabic or Bulgarian is a plus.
