Executive Assistant to Senior Partner

Main duties and responsibilities:

• Supporting the Managing Partner as his Executive Assistant in the management of the firm, always maintaining confidentiality and discretion.
• Extensive diary management and travel arrangements, which will include managing a significant amount of both national and international travel.
• Drafting meeting and program agendas and liaising with overseas offices/ senior management for collation and circulation of information for meetings.
• Ensuring regular reports are received by the Managing Partner from all areas of the firm and that they are both aware of everything they should be firm-wide.
• Diarizing and attending BOD meetings, conferences, and other assemblies and to take minutes.
• Preparing PowerPoint presentations for conferences.
• Ensuring the Managing Partner has relevant papers for meetings ahead of time, often with minimal instruction.
• Maintaining an efficient filing system for legal documents and correspondence, ensuring accurate and organized record-keeping.
• Liaising with clients, third parties, internal departments, and external organizations on behalf of the managing partner, facilitating effective communication and coordination.
• To always act as an ambassador for the Managing Partner.
• Working with the other members of the central management team to maintain a strong, cohesive unit.
• Overseeing the production of legal documents such as contracts, agreements, and letters of engagements, coordinating with internal legal and administrative teams and external parties as necessary.

Skills/experience required:

• Experience of working in a similar role in a Local or international law firm for at least five years.
• Bachelor's degree in management or a related field.
• Many aspects of this role will be confidential, and the individual will be required to maintain strict confidentiality and act with diplomacy, tact, and discretion always.
• Excellent IT skills, particularly MS Outlook, MS Word, Excel, and PowerPoint.
• Exceptional organizational, time-management and administrative skills.
• Excellent attention to detail.
• Ability to work under pressure and at times to very tight deadlines.
• Ability to work well in a team environment and with limited supervision.
• Ability to multi-task efficiently, and effectively whilst still prioritizing the work of the Managing Partner.
• Calm, methodical approach, Positive and results-focused, contributing to the success of the legal firm.
• Open-minded and creative attitude to problem-solving.
• Self-motivated and ambitious, demonstrating a strong work ethic.
