Job Summary:

The Supply Chain Coordinator is responsible for supply chain planning and customer service for a given product category or delegation. S/he implements order fulfillment guidelines, facilitating the Collaborative Demand Planning (CDP) process and ensuring all customers’ needs are understood, met, delivered, and well communicated. S/he ensures that the future demand needs of the requesting departments are available in the JD Edwards software system by uploading forecasts. S/he sees to it that all forecast inputs are processed, and goods sourcing meets demand in the most efficient and effective way. The qualified candidate should have a bachelor’s degree in Logistics, Supply Chain, Business Management or equivalent, with 6 to 9 years of experience in supply chain, previous experience in working on JD Edwards/Oracle software system is a must.

General Description:

Supply Chain Coordinator 1 is responsible for supply chain planning and customer service for a given product category or delegation. S/he implements order fulfillment guidelines, facilitating the Collaborative Demand Planning (CDP) process and ensuring all customers’ needs are understood, met, delivered, and well communicated. S/he ensures that the future demand needs of the requesting departments are available in the JD Edwards software system by uploading forecasts. S/he sees to it that all forecast inputs are processed, and goods sourcing meets demand in the most efficient and effective way.

Objectives and Tasks:

Works closely with the departments to plan and forecast the demand for all their needs (40%)

  • Prepares all necessary data for the smooth running of the CDP process.
  • Manages the delegation's consolidated demand figures, maintaining monthly forecasts in line with ICRC's logistical and financial procedures.     
  • Serves as the logistics focal point for the department's demand planning process, organizing and leading trilateral meetings, and preparing CDP meetings.
  • Proposes and monitors buffer stocks based on independent analysis.
  •  Analyzes historical behavior and forecast accuracy, providing the department with results, main trends, and deviations.
  • Monitors soon-to-expire and overstock items, sharing this information with various departments.
  • Participates in department meetings and contributes to planning changes in various programs.
  • Supports focal points in the requesting departments in creating and correcting their monthly forecasts.
  • Seeks customer feedback to explore ways of improving the customer experience.

Collaborates with departments delegations to adjust Demand Plans due to unforeseen circumstances (5%)

  • Validate ad hoc CDP with all concerned parties.
  • Liaise with Purchasing unit making sure the orders are processed.

Manages inventory as per ICRC standards (5%)

  • Supervises planning parameters to generate optimal inventory levels and meet customer requirements fully and in line with the contingency plan.
  • Follow up JDE setup and use tableau to extract data for data analysis.

Manages the supply planning to meet demand efficiently and effectively (30%)

  • Monitors Material Resource Planning (MRP) suggestions, analyzes supply and demand, and makes informed decisions. Provides recommendations to enhance forecasting accuracy.
  • Ensures future demand needs of requesting departments are available in the JD Edwards software system by uploading forecasts. Ensures processing of all forecast inputs and efficient goods sourcing to meet demand.
  • Creates draft purchase orders, transfer orders, inter-site orders, and work orders based on MRP suggestions. Monitors and follows up on the supply pipeline with Purchasing and upstream sites.
  • Interprets the combined supply and demand view in the JD Edwards software system, identifies challenges and inconsistencies, and proposes solutions as needed.
  • Sets and updates MRP system parameters and item settings in the JD Edwards software.
  • Anticipates risks in customer orders, communicates them to customers, and proactively works to mitigate issues or suggests alternative solutions.

Coordinates with purchasing, transport, and warehousing staff in the delegation for an optimized supply chain (10%)

  • Coordinates with the purchasing unit, analyzing main market challenges and internal purchasing bottlenecks. Takes corrective measures when needed.
  • Observes, orients, and acts to optimize processes.
  • Oversees the preparation of orders with the warehouse, ensuring they are completed promptly.
  • Arranges distribution schedules to meet promised delivery dates on time.
  • Implements and monitors order fulfillment processes.
  • Analyzes service delivery and provides solutions to problems. Checks and analyzes the impact of all consolidated supply chain solutions, proposing optimal solutions.
  • Ensures that risks are mitigated by performing controls assigned to the role as described in the Logistics Risk and Control Matrix.

Managerial responsibilities(5%)

  • Acts as technical or line manager for the supply chain team for the assigned product category/delegation as well the logistics assistant for the 3PL medical warehouse.

Performs additional duties for the supply chain unit (5%)

  • Monitors and analyses performance metrics on medical and general logistics dashboards (Tableau), determine and propose corrective action to the Management.
  • Ensures that the priorities set by department are followed. n Uses the Logistics information management tools (STM, Teamspace) effectively.
  • Participates in monthly and yearly warehouse stock inventories following ICRC procedures.

General Duties:

  • Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement.
  • Understands and adheres to the ICRC Code of Conduct.
  • Understands the roles of the components of the International Red Cross and Red Crescent Movement.
  • Always respects and observes staff regulations and security rules
  • Always represents the ICRC in a professional manner.
  • Develops and maintains a pleasant and conducive working environment with colleagues and line manager.
  • Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC.
  • May be asked to perform tasks not covered in this job description and to provide support to other colleagues when necessary.

Additional Duties:

  • Follows up on all work-related messages and correspondence with the relevant contacts and departments.
  • Is aware of the delegation’s objectives and has a good knowledge of the Movement and other contacts relevant to the position.
  • Collects and shares information to improve the ICRC’s understanding of the environment and humanitarian trends and responses.
  • Represents the ICRC in an appropriate way during activities, in meetings and in the field, and avoids any activity that may reflect negatively on the ICRC’s image.
  • Under close supervision, works on field programmes from local to country level.
  • Contributes to defining annual health budgets and to the implementation and monitoring of it.
  • Contributes to coordinating and managing a health team resident and mobile staff.

Job Details:

  • Job Location: Beirut, Lebanon.
  • Working Schedule: Monday till Friday, from 8 Am till 5 Pm.
  • Contract Type: Determined Period, 1 year (renewable based on performance and need for position).
  • Salary Package: USD 2,897 - 4,816 (As per ICRC salary scale, salary setting processes will determine fair setting in coherence with the qualifications of the applicant and the requirements of the job).

Position Requirements:

Minimum Qualifications:

Years of experience required: 6 to 9 years of experience in supply chain, previous experience in working on JD Edwards/Oracle software system is a must.

Level of education: Bachelor’s Degree, Master’s Degree is a strong asset.

Field of education: Logistics, Supply Chain, Business Management or equivalent.

Languages: Fluency in Arabic and English, French is a strong asset.

Computer Literacy: Advanced computer skills in MS Windows and MS Office Suite, Proficiency in JDE is a requirement.
