1. About KASAKA
KASAKA is a luxury retail company that specializes in sourcing European luxury fashion brands and selling them to the Lebanese market. KASAKA has been in the fashion industry for over 40 years and currently has 3 physical stores in operation and an online store. Amongst the brands managed by KASAKA are Emporio Armani, Maison Valentino and other European brands.

2. Role Purpose
A fantastic opportunity has arisen for a junior administrative assitant, to join a retail company based in Beirut. They are looking for a bright, proactive team player who will add value to their excellent company culture.

3. Time Commitment
• This is a full-time ongoing role, it is paid through a fixed salary.
• Working schedule is an office based 9-5 weekdays and half day Saturday. Candidate is expected to work from 9am - 5pm on weekdays and 9am – 1pm on Saturdays.

4. Objectives
• Support a wide range of administrative tasks, including answering company telephones and directing callers, organizing accounting documents, handling company invoices and system administration.
• Ensure smooth running of company reporting process
• Maintain complex and detailed calendars for the 2 senior team members and act as a gatekeeper and main point of contact for all enquiries
• Partner with Senior Business Manager on all the key tasks and provide support on logistics for meetings and town hall
• Arrange and coordinates international travel
• Logistics for all external visitors
• Flags incoming issues and concerns, ensures deadlines are met
• Onboards new employees
• Manages the coordination and logistics of both internal and external meetings
• Assists in editing spreadsheets and presentations, including printing and binding, for client meetings
• Processes invoices and key expenses for the company. Ensure invoices all processed in timely fashion in time for quarterly reporting.

5. Deliverables
• Provide administrative support to ensure efficient operation of the office
• Answer and direct phone calls, emails, and other correspondence
• Perform data entry, manage files, and maintain office supplies
• Coordinate and schedule appointments, meetings, and events.

6. Candidate Profile
• Strong organizational skills, ability to multi-task and prioritize with excellent attention to detail.
• Excellent interpersonal skills and the ability to build relationships.
• Strong written and verbal communication skills.
• Proactive rather than reactive – plans for all eventualities but ability to be flexible to changing work demands at short notice.
• High levels of confidentiality and discretion.
• Resourceful team-player
• Remains calm under pressure
• Highly proficient in Microsoft Office
