Job Description:
• Answer and redirect phone calls as needed
• Answer and/or redirect emails internally as needed
• Organize and schedule appointments and meetings
• Develop and maintain a filing system
• Overview office logistics (cleaning, water stock, stationary stock etc)
• Order office supplies and research new deals and suppliers
• Act as point of contact for various office suppliers and maintain/update a contact list for various suppliers
• Book travel arrangements (tickets, hotels, transportations, etc)
• Issue various visas
• Provide general support to visitors
• Act as the point of contact for internal and external clients
• Act as the point of contact for drivers and make sure their work is completed daily as scheduled
• Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
• Handling personal files and requests of Chairman and CEO as directed by their own executive assistants
• Acting as point of contact for HR department and liaising with HR head abroad
• Assisting the HR Department with:
o Writing and distributing emails, correspondence memos, letters, etc.
o Updating and maintaining of personnel records and databases
o Assisting new recruits in onboardings
o Office events such as Christmas parties, employees gatherings, day-scheduled activities, etc
o Office trainings and seminars

• Knowledgeable in Microsoft (mid-level for word and outlook – beginner level for excel and powerpoint)

• Available on call afterhours and on weekends
