Are you passionate about providing top-notch customer service and creating a welcoming environment? Our company is seeking a receptionist to be the friendly face of our office.

Job Summary:

As a receptionist, you will be the first point of contact for our company. You will welcome guests and greet people who visit Exotica’s head office. You will also coordinate front desk activities, including answering incoming calls, directing calls to appropriate associates, mail distribution, and other administrative duties as needed. The ideal candidate should have excellent communication skills and be comfortable with multi-tasking.

Responsibilities:

1- Greet and welcome guests as soon as they arrive at the office.
2- Direct visitors to the appropriate person or department.
3- Answer, screen, and forward incoming phone calls.
4- Receive and sort daily mail and deliveries.
5- Order front office supplies and keep inventory of stock.
6- Perform other clerical receptionist duties such as filing, photocopying, and faxing.
7- Prepare meetings and training rooms by ensuring they are clean, organized, and properly equipped.
8- Support the Landscape department in invoicing and job offer preparation.
9- Assist other departments with their administrative needs as required.

Qualifications:

1- Excellent communication skills, both written and verbal.
2- Strong interpersonal skills and the ability to create a positive first impression.
3- Good organizational skills to manage appointments, schedules, and office tasks.
4- Proficiency in using office software, such as Microsoft Office and email.
5- Excellent command of the English language, both written and spoken.
6- Ability to handle multiple tasks at the same time while maintaining professionalism and attention to detail.
7- Excellent customer service skills, including the ability to handle complaints and difficult situations with grace and diplomacy.
8- Good time management skills to prioritize tasks and manage time effectively.
9- Ability to maintain confidentiality when handling sensitive information or documents.
10- Adaptability to changing situations and a fast-paced work environment.
11- Strong problem-solving skills and the ability to make decisions quickly and effectively
