Receptionist

Malak Al Tawouk is recruiting a receptionist for its Head Office.

Authorities & Responsibilities:
• Schedules meetings and appointments for the Top Management.
• Ensure on a daily basis that all office requirements and refreshments are available in Top Management offices.
• Assist the office manager in the arrangement of the Top Management travel process when requested.
• Receives, sorts, and manages all incoming and outgoing emails and deliveries.
• Answers and directs incoming calls in a professional manner and takes related notes and messages when necessary.
• Greet visitors with a positive, helpful attitude and address their questions and needs.
• Keep detailed and accurate records for all the daily visits and update the visitors’ log accordingly.
• Supports other departments in administrative tasks when needed.
• Manages meeting room availability, assists departments in scheduling meetings and preparing meeting room.
• Prepare the daily mistakes report in coordination with the operations team and customer service department and send it to the owner on a daily basis.
• Handles the head office petty cash in coordination with the office manager and record office expenses.
• Handles all administrative duties in the office such as sending rechargeable cards to the branches and other duties in coordination with the office manager.
• Maintains the office & equipment’s condition and reports any problem to the office manager to solve it accordingly.
• Handles and updates company vehicles file in coordination with concerned departments.
• Oversees and maintains office equipment (printer, shredder, keys...)
• Keeps the reception area organized, neat, clean, and always occupied.
• Oversees office services like cleaning and maintenance service providers and ensure office is always clean in coordination with the office manager.
• Performs daily tasks required by Top Management.
• Adheres to the company’s rules, regulations, policies, and procedures.
• Performs other duties as assigned.

Educational & Technical Experience:
• Bachelor's degree in business administration or a related field
• More than 1 year of experience in the same field.
• Proficiency in MS Office
