Secretary

The secretary is responsible for providing administrative support to ensure efficient office operation. This role supports managers and employees through a variety of tasks related to organization and communication, ensuring all administrative duties are completed accurately and delivered with high quality and promptly.

Key Responsibilities:

Administrative Support:

Answer and direct phone calls.
Organize and schedule meetings and appointments.
Maintain contact lists.
Documentation:

Produce and distribute correspondence memos, letters, faxes, and forms.
Develop and maintain a filing system.
Check frequently the levels of office supplies and place appropriate orders.
Communication:

Act as the point of contact for internal and external clients.
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Office Management:

Handle administrative requests and queries from senior managers.
Assist in the preparation of regularly scheduled reports.
Order office supplies and research new deals and suppliers.
Event Coordination:

Book travel arrangements.
Plan and organize events.
Compliance and Confidentiality:

Maintain the confidentiality of sensitive information.
Ensure compliance with company policies and industry regulations.

Qualifications:

Education: High school diploma or equivalent; additional Administrative Assistant or Secretary qualifications will be a plus.
Experience: Proven administrative or assistant experience.
Skills:
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to multi-task
