We are seeking a highly organized and proactive Executive Assistant and Office Manager to join our dynamic team. This role is crucial in ensuring the smooth operation of our office and providing top-notch support to our executive team. The ideal candidate will be a multitasker with excellent communication skills and a strong ability to manage various administrative and office management tasks efficiently.
Key Responsibilities:
Executive Support:
- Manage the executive's calendar, scheduling meetings, appointments, and travel arrangements.
- Provide administrative assistance, including writing and editing emails, drafting memos, and preparing communications on behalf of the executive.
- Take minutes of meetings, follow up on action points, and ensure timely completion of tasks.
- Assist in research, review, and proofread documents.
- Draft due diligence reports and summaries for corporate clients.
Office Management:
- Manage and maintain office operations and supplies, ensuring the office is well-stocked and organized.
- Coordinate office equipment maintenance and repairs, liaising with vendors as necessary.
- Manage office lease agreements, including renewals, terminations, and rental fee payments.
- Prepare monthly payroll, expense reports, and related statements for CEO approval and signature.
- Handle all payments, manage petty cash, and ensure proper documentation and tracking.
- Implement and enforce office policies and procedures to maintain an efficient work environment.
- Manage the office budget, track expenses, and ensure costs are kept within budget.
Administrative Duties:
- Organize and coordinate office operations and procedures to ensure organizational effectiveness.
- Communicate with stakeholders to build and maintain positive relationships.
- Ensure effective management and follow-up of staff members.
Skills
Qualifications:
- Proven experience as an Executive Assistant, Office Manager, or in a similar role.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong attention to detail and problem-solving skills.
- Bachelor's degree in Business Administration, Office Management, or a related field is preferred.
