Job Overview: The Procurement Assistant will support the Procurement Officer and the procurement department by managing administrative tasks, tracking orders, and facilitating communication with suppliers and internal teams. This role is key to ensuring smooth and efficient procurement operations, particularly focusing on new orders, re-orders, and communication between various departments.
Key Responsibilities:
- Order Processing and Tracking:
- Assist in creating and processing purchase orders for new and re-orders.
- Track the status of orders and update the Procurement Officer on progress.
- Help track shipments to ensure timely delivery and communicate any delays.
- Supplier Communication:
- Act as the first point of contact for suppliers regarding routine inquiries, order confirmations, and delivery updates.
- Follow up with suppliers on order status, shipping documents, and delivery schedules.
- Escalate any supplier issues to the Procurement Officer.
- Documentation and Reporting:
- Maintain up-to-date records of procurement activities, including purchase orders, contracts, and supplier agreements.
- Assist in preparing procurement reports, providing data on order status, supplier performance, and inventory levels.
- Report back to the Procurement Officer regularly with updates and insights
Skills and Qualifications:
- Bachelor’s degree, diploma or equivalent in Business Administration, Data Management, Supply Chain Management, or a related field.
- 1-2 years of experience in a support role. Experience within procurement, logistics, or a related field is a plus.
- Strong organizational and communication skills.
- Ability to multitask and prioritize tasks efficiently.
- Proficiency in Microsoft Office (Excel, Word)
- Experience with ERP or procurement software is a plus.
