We are seeking a driven, tech-savvy, energetic, adaptable, and highly motivated individual to fill our Operations Coordinator role. In this position, you will be responsible for managing the day-to-day operations of the business where you will get to wear many hats. This includes performing and managing tasks related to our online learning platform, scheduling, internal communications, generating client reports, conducting market research, managing outreach to prospective tutors and employees, overseeing data management, and handling bookkeeping and invoicing. The ideal candidate is highly versatile, resourceful, tech-savvy, and eager to learn.


While experience, expertise, and a strong educational background are preferred, we are looking for intelligence, a strong work ethic, a natural talent for business operations (including systems-oriented thinking and continuous improvement), and the ability to work effectively to get things done.

Responsibilities:

  • Day-to-day operations: Manage the day-to-day business operations and administrative functions, ensuring daily operations run smoothly and efficiently
  • Online Learning Platform Management: Maintain and update our online teaching platform, ensuring it is current with the latest student and tutor information
  • Client Report Generation: Produce regular reports for clients, providing detailed insights into the progress and outcomes of our educational programs
  • Market Research: Conduct market research to identify trends, opportunities, and challenges within the education industry, providing actionable insights to the leadership team
  • Outreach: Manage outreach efforts to prospective tutors and employees, ensuring we continuously attract top talent
  • Data Management: Oversee data entry, organization, and analysis, ensuring all information is accurate and readily accessible
  • Bookkeeping & Invoicing: Assist with basic bookkeeping tasks and invoicing, ensuring financial records are accurate and up-to-date
  • Scheduling: Manage and coordinate scheduling changes between tutors and students
  • Internal Employee Communications: Facilitate effective internal communication within the team (e.g., with tutors and staff)
  • Website Updates: Manage content updates on our website and socials (e.g., blog posts), ensuring information is current, relevant, and engaging
  • Resourcefulness and Problem-Solving: Approach challenges with a solution-oriented mindset, finding creative and effective ways to overcome obstacles


Requirements:

  • Strong communication skills in English.
  • Education: minimum of bachelors degree (preferably in business or engineering)
  • Experience Preferred: 3-5 years experience in operations or in or a related field
  • Tech-savviness: Strong proficiency with digital communication tools such as Hubspot CRM, online meeting platforms (e.g., Zoom), Excel, PPTX, with the ability to quickly learn new digital tools.
  • Communication Skills: Fluent/native English speaker with exceptional verbal and written communication skills.
  • Self-Motivated, Efficient: Ability to work independently, set priorities, and meet targets with minimal supervision. Highly efficient work-ethic with a strong desire to get things done.
  • Adaptability: Flexibility to adapt to changing strategies and market dynamics.
  • Problem-Solving: Strong problem-solving skills to effectively address challenges and objections.
