Duties and Responsibilities:

• Deal with freight forwarders, shipping agencies and clearing agents to get the best quotations
• Study/compare quotations and signs contracts as per the lowest rate/best service ratio
• Communicate and coordinate with the commercial department to set the yearly/ seasonal shipping schedule and ensure its execution
• Communicate and coordinate with the commercial department to initiate shipments and to complete the shipping documentation (Invoices, packing list, transport documents, certificate of origin, etc.)
• Follow-up with shipping companies, forwarders and clearing agents to ensure accurate and timely receipt of shipments and take necessary actions when needed
• Generate Shipment status reports and communicate them to the concerned parties
• Follow-up and liaise with all concerned parties to ensure safe delivery of shipments from port and airport to HSTCO premises
• Check customs declaration forms and validate customs duties amounts
• Prepare all documents related to clearing formalities
• Prepare customs payment requests and forward them to the Accounting Dept.
• Check all shipping documents and ensure they are in conformity with rules and regulations to avoid any penalties.
• Check all shipping documents and make sure they are in conformity with suppliers, forwarders, clearing agents’ terms of agreements and approved quotations.
• Prepare claims and follow up with insurance companies on any missing items
• Prepare the department budget
• Prepare reports: Logs, Costing on seasonal basis
• Provide recommendations to concerned parties to reduce shipping cost and improve on delivery time.
• Prepare a filing system for all the shipments for record keeping and keep the data up to date and secure for later reference
• Make sure to adhere to the filing systems Supervise the logistics team and ensure proper and accurate implementation of procedures
• Delegate tasks to team members as required
