Key Responsibilities:
o Oversee the entire buying process
o Complete and manage order forms accurately to ensure timely purchasing of goods.
o Establish and maintain effective communication with suppliers and franchisors to facilitate smooth operations and resolve any procurement-related issues.
o Address and resolve customer complaints in a professional and timely manner to ensure a positive customer experience.
o In charge of the customer service mobile phone, respond to all calls and wahtsApp messages promptly, and document customer interactions.
o Monitor stock levels to ensure adequate inventory is maintained to meet business needs.
o Oversee inventory rotation between shops to optimize stock usage and minimize dead items.
o Analyze usage trends and coordinate replenishment to avoid overstocking or stock shortages.
o Manage the delivery process for online shopping orders to ensure timely and accurate shipments.
o Negotiate new shipping deals with forwarders to reduce costs and improve delivery efficiency.
o Resolve any issues related to POS invoicing errors, incorrect refunds, or payment discrepancies.
o Coordinate with the bank to address any financial concerns, including account maintenance and troubleshooting.
o Keep all CCM machines in POS locations well-maintained and updated to ensure smooth operations.
o Direct the shooting process in the studio, ensuring production meets quality standards and deadlines.
o Collaborate with relevant teams to deliver visually appealing content aligned with the company’s branding.
o Manage and update the company’s website, ensuring accuracy, functionality, and user-friendliness.
o Prepare and organize files necessary for backend software operations to support seamless system performance.
o Act as the primary liaison with different mall managements to address any operational or business issues.
o Prepare and share detailed reports with related manager to track and resolve mall-related concerns.
o Extract the customer list from the server and prepare SMS bulk files for the 30% and 50% promotional periods for both Outlet and Fabula stores
o Coordinate with the printing house to order new vinyl designs for store windows and sales-related decals.
o Negotiate quotes with the SMS provider and printing house to secure the best quality at the most competitive prices
o Monitor the office environment to address and coordinate maintenance needs promptly.
o Coordinate with the IT department to purchase office equipment such as keyboards, mice, and phones.
o Collaborate with the IT department to back up the server regularly and ensure it is well-maintained
o Provide support to the Managing Director in handling concerns, ensuring timely resolutions.
o Assist in preparing for and participating in meetings, including taking notes and following up on action plans.
o Document and report notes, issues, and key insights to facilitate informed decision-making
