We are looking for a receptionist to perform the following Duties:
• Receive, transfer and record all phone calls
• Assist management in calls, schedules and correspondence
• Record and follow up minutes of meetings
• Welcome, greet and direct visitors
• Ensure the showroom is organized and all items are priced
• Ensure the Conference Room is organized and clean at all times
• Supervise the office cleaners’ duties and schedule.
• Maintain daily filing of Front Office, Operations and Customer Service Departments (Receipts, Delivery Notes, etc...)
• Maintain and update company archiving system (Close end of Year)
• Organize and maintain all foreign suppliers’ brochures
• Perform basic HR duties: Attendance and Leaves
• Back Up Opening client files and filling in application forms for home and office clients in accordance with Operations & Sales Departments
• Create and update company databases regarding suppliers and clients
• Handle all office purchases of stationary and supplies
• Monitor local suppliers’ yearly contracts and visits (Example: Printers, IT, Spare Parts, Acid, etc.)
• Maintain accurate petty cash transactions daily in accordance with Accounting Department
• Purchase, distribute and monitor the stock of cellular recharges, uniforms, and receipt and delivery note books, printing of invoices…
• Manage company cars: mechanic, licenses, permits, branding, repairs, maintenance, traffic violations
• Follow up on shipments in accordance with Accounting
• Handle travel and hotel arrangements for staff and visitors
• Print and distribute Daily Journee
• Manage office Opening and Closing
• Deliver goods and receive payment from walk in clients if required
Duty Time: Monday till Friday from 8:00 AM till 5:30 PM
