Executive Assistant

We are a leading company specializing in high-tech equipment and services in the medical, aesthetic, and dental fields. We are seeking a highly skilled and proactive female Executive Assistant to support our operations across our Beirut office and remotely for our Iraq office.

Position Overview:
As an Executive Assistant, you will provide high-level administrative support to the CEO and leadership team. This role is pivotal in ensuring smooth operations across departments, enhancing productivity, and maintaining effective communication within and outside the organization.

Key Responsibilities:
Administrative Support:
* Directly support the CEO and designated leadership team to ensure operational efficiency.
* Oversee the smooth day-to-day functioning of the Beirut office while remotely coordinating operations in Iraq.

Schedule and Calendar Management:
* Manage and optimize executives' calendars by scheduling meetings and confirming appointments.

Travel Coordination:
* Arrange executive travel and accommodations, including booking flights, hotels, and transportation.

Communication Management:
* Act as the primary point of contact for screening and directing phone calls and emails.
* Manage incoming and outgoing correspondence professionally and efficiently.

Supplier Communication:
* Liaise with suppliers regarding purchase orders, shipping, marketing inquiries...
* Ensure timely follow-up to maintain seamless supply chain operations.

Recruitment and Onboarding:
* Assist with job postings, candidate screening, and onboarding processes.
* Organize and file employees’ documents, including NSSF files.

Supply Chain and Logistics:
* Coordinate with freight forwarders and customs clearance officers to ensure timely delivery of goods.

Regulatory and Compliance Tasks:
* Handle procedures, documentation, and approvals for LAEC, MOH, and license renewals.

Marketing and Social Media Management:
* Manage the company’s social media accounts, including content creation, scheduling, and engagement.
* Assist in developing and executing marketing strategies to enhance brand visibility.

Legal and Document Management:
* Organize and maintain the company’s legal documents and compliance records.
* Liaise with lawyers and notaries to ensure adherence to regulatory requirements.

Document Preparation:
* Draft offers, sales agreements, and professional correspondence with precision and adherence to company standards.

Qualifications and Skills:
* Proven experience as an Executive Assistant or in a similar role.
* Exceptional organizational and time-management skills.
* Strong communication skills in English and Arabic (written and verbal).
* Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
* Experience with logistics coordination is highly desirable.
* Knowledge of regulatory processes (LAEC, MOH, NSSF) is a plus.
