Procurement and Logistics Coordinator

Position Objective:
The Procurement and Logistics Coordinator is responsible for managing the logistics, procurement and the labors administration tasks within the company.

Duties:

Logistics
•Direct inbound or outbound logistics operations, such as transportation or warehouse activities, safety performance, or logistics quality management
•Driver Scheduling and Coordination: Coordinate and manage the schedules of truck drivers, ensuring that routes and deliveries are organized efficiently and in line with company needs.

Procurement/Stock Management
•Select local and international suppliers and determine the best deals for the company, and evaluate the many pros and cons of each, based on price, quality, speed of delivery and other factors
•Establish a clear procurement procedure and ensure all requests are managed effectively
•Prepare POs and ensure deliveries of items on time and as per specifications
•Monitor the delivery times to ensure supplies are on time
•Manage the process of procurement and delivery for teams, ensuring all items are logged in and any extra supplies are returned back to the office and logged correctly where necessary
•Continuously monitor, evaluate and improve supplier performance
•Organize the storeroom on daily basis
•Manage the stock of tools and spare parts and keep the transactions and the stock updated on the system and in the storeroom
•Generate monthly costing report for spare parts per department
•Ensure that all items are properly identified and readily accessible
•Prepare and update the stock report
•Control the storeroom inventory and stock replenishment
•Prepare and execute the storeroom inventory twice a year or upon request
•Report on inventory activities and variance

Vehicle Management
•Ensure all vehicle log books are correctly filled in for all journeys and checked against the Fuel Log on a monthly basis
•Manage trucks performance tracking system (GPS) and ensure reports are issued timely and with required analysis
•Ensure timely replacement of vehicle parts as needed to maintain optimal vehicle performance.
•Oversee and manage vehicle usage to ensure all drivers adhere to company policies and safety regulations.
•Ensure that any accidents, damages, or incidents involving company vehicles are immediately reported and fully documented, with details submitted to senior management for review.
•Enforce strict compliance with company guidelines and take appropriate action when necessary to maintain operational efficiency and safety.
•Ensure all vehicles are regularly inspected and maintain roadworthy conditions, meeting all safety and regulatory standards.
•Verify that all company vehicles have valid insurance coverage, ensuring compliance with legal requirements.
•Maintain the cleanliness and proper upkeep of all Demco Trucks, ensuring consistent company branding and a professional appearance across the entire fleet.
•Handle all legal paperwork for company trucks, including ensuring drivers' licenses are valid, and tracking payments for vehicle inspections and mechanics (mécanique payments)

Management
•Prepare and submit detailed closing reports at the end of each month
•Oversee the operation of the solar system, ensuring its optimal performance and efficiency.
•Evaluate and implement cost-saving initiatives for warehouse operations, focusing on efficiency measurements and continuous improvement in storage and handling processes
•Track and monitor the usage of fuel trucks, ensuring efficient fuel consumption and minimizing waste. Prepare and submit monthly usage reports to the Managing Director
•Manage and document all costs related to accidents and incidents involving company assets. Provide detailed reports to the Managing Director, outlining the financial impact and corrective actions
•Coordinate with HR to handle labor ticket bookings, ensuring smooth and timely travel arrangements for workers as needed
•Conduct daily inspections of the warehouse, ensuring all areas are kept clean, organized, and in compliance with company standards for safety and efficiency

Education and Experience:
•BE in Mechanical Engineering
•4 to 6 years of experience in the field
