Main Accountabilities:
The Executive Assistant to the CEO is responsible for providing high-level administrative support, managing the CEO’s schedule, coordinating travel and meetings, handling confidential information, and acting as a liaison between the CEO and internal/external stakeholders. This role requires fluency in Arabic, English, and French to facilitate communication with international partners and clients.
Detailed Job Description:
Executive Support:
• Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare and review correspondence, reports, presentations, and documents on behalf of the CEO.
• Handle confidential and sensitive information with discretion.
• Monitor emails, prioritize correspondence, and draft responses when required.
Meeting & Event Coordination:
• Organize and prepare materials for board meetings, executive meetings, and client meetings.
• Take minutes of meetings, summarize key points, and follow up on action items.
• Coordinate logistics for corporate events, conferences, and networking engagements.
Travel Management:
• Arrange international and domestic travel, including flights, accommodation, transportation, and itineraries.
• Ensure all necessary travel documentation and visas are secured in advance.
Liaison & Communication:
• Serve as a point of contact between the CEO and employees, clients, partners, and stakeholders.
• Translate and interpret documents, emails, and meetings between Arabic, English, and French when necessary.
• Communicate executive messages to internal teams and external parties.
Office & Administrative Management:
• Ensure smooth daily operations of the CEO’s office.
• Maintain organized records of documents, contacts, and meeting notes.
• Support the CEO in strategic planning, research, and project management.
Job Profile:
Education and Experience:
• Bachelor’s degree in Business Administration, Management, or a related field.
• Minimum 7-10 years of experience in an executive assistant role, preferably in the travel and tourism industry.
• Experience working in a multinational or corporate environment is a plus.
Skills and Competencies:
• Fluency in Arabic, English, and French (both written and spoken).
• Excellent organizational, multitasking, and time-management skills.
• Strong communication and interpersonal skills to interact with C-level executives and international clients.
• High level of professionalism, confidentiality, and discretion.
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other digital tools.
