Administrative Lead

Mission:
The mission of the Legal Administrative Lead is to provide onsite, dedicated support to lawyers at the syndicate by ensuring accurate data entry, reviewing and approving information on the digital platform, and assisting with any inquiries related to the system. By maintaining the integrity of data, streamlining digital processes, and offering timely assistance. This role is committed to delivering exceptional support, upholding confidentiality, and contributing to the seamless operation of the syndicate’s digital platform.
Promote the e-Barreau among some potential clients

Responsibilities
• Data Entry and Management
o Accurately input and update lawyer-related data into the digital platform.
o Ensure all information is complete, consistent, and compliant with syndicate requirements.
• Data Review and Approval
o Review data entries submitted by lawyers for accuracy and completeness.
o Approve or reject data entries based on predefined guidelines and compliance standards.
o Resolve discrepancies or errors in collaboration with lawyers.
• Digital Platform Support
o Provide onsite assistance to lawyers for navigating and using the digital platform.
o Troubleshoot basic technical issues and escalate complex problems to the IT team.
o Train lawyers on new features or updates to the system as needed.
• Inquiry Handling
o Respond to lawyers’ inquiries related to the digital platform promptly and professionally.
o Provide guidance on system functionalities, data submission processes, and compliance requirements.
• Compliance and Quality Assurance
o Ensure all data entered or approved complies with syndicate rules and regulations.
o Maintain confidentiality and security of sensitive information.
o Conduct regular audits of data to ensure accuracy and consistency.
• Documentation and Reporting
o Maintain records of data entries, approvals, and rejections.
o Generate reports on system usage, data accuracy, and compliance metrics as required.
• Coordination and Communication
o Act as a liaison between lawyers and the IT or administrative teams.
o Communicate updates, changes, or issues related to the digital platform to relevant stakeholders.
• Process Improvement
o Identify bottlenecks or inefficiencies in data entry and approval processes.
o Suggest improvements to enhance the usability and efficiency of the digital platform.
• Administrative Support
o Assist with general administrative tasks as needed, such as scheduling, filing, or document preparation.
o Ensure a smooth and organized workflow within the syndicate’s operations.

• Handle the enrollment process, ensuring all required documents and information are collected and verified.
• Maintain and update the member database with accurate details.
• Oversee the personalization of member IDs, including data entry, printing, and quality control.
• Manage the issuance and distribution of IDs, ensuring timely delivery to members.
• Coordinate with the bank for the issuance of payment cards for members.
• Track the status of payment card processing and follow up as needed.
• Arrange for the collection and secure delivery of issued payment cards to members.
• Maintain organized records of all enrollment and ID issuance activities.
• Generate reports on membership enrollments, ID issuance, and payment card status.
• Provide support for any member inquiries related to IDs and payment cards.
• Assist in improving and streamlining the enrollment and card issuance processes.
• Generate reports and dashboards to management.
• Outdoor visits to onboard potential retailers for sponsorship.

Education Requirements:
• Bachelor’s Degree in Business Administration or related field

Experience
• 3-5 years of relevant experience
