Receptionist & Customer Service Coordinator

Job Summary:

We are seeking a friendly, organized, and proactive individual to join our team as a Receptionist with additional responsibilities in Customer Service and Office Supplies management. This role requires excellent communication skills, a customer-focused attitude, and strong organizational abilities to ensure smooth office operations and exceptional service delivery.

Key Responsibilities:
Receptionist Duties:

- Greet and welcome visitors in a professional and courteous manner.
- Answer, screen, and direct incoming phone calls promptly.
- Manage the reception area, ensuring it is tidy and presentable.
- Handle incoming and outgoing mail and deliveries.
- Schedule and coordinate appointments and meetings.
- Maintain visitor logs and issue visitor badges when required.

Customer Service Duties:
- Respond to customer inquiries via phone, email, and in-person.
- Provide accurate information about products, services, and policies.
- Handle customer complaints and resolve issues efficiently.
- Maintain customer records and update databases.
- Support the sales team with order processing and follow-up.

Office Supplies Management:
- Monitor inventory levels of office supplies and reorder as necessary.
- Liaise with vendors and suppliers to obtain quotes and place orders.
- Maintain accurate records of supply expenses and delivery schedules.
- Organize storage and distribution of supplies to different departments.
- Identify opportunities to reduce costs and improve supply management efficiency.

Qualifications:
- High school diploma or equivalent; additional education is a plus.
- Proven experience as a receptionist, customer service representative, or office supplies coordinator.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking skills.
- Ability to handle confidential information with discretion.
- Friendly, approachable, and customer-oriented demeanor.
