We are seeking a highly organized, discreet, and proactive Assistant to the Chairman to provide executive support. This role requires exceptional communication skills, strong business understanding, and the ability to manage multiple priorities with efficiency and professionalism, ensuring smooth daily operations and effective time management.
Qualifications:
• Bachelor’s degree in Business Administration or related field (preferred).
• Proven experience (5+ years) as an Executive Assistant or Personal Assistant.
• Excellent written and verbal communication skills, Arabic, French and English are must.
• Strong organizational and time-management skills; ability to prioritize effectively.
• High level of discretion, professionalism, and interpersonal skills.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and google sheets.
• Knowledge of business tools like Zoom, Teams, etc.
• Flexibility to work outside standard hours when needed.
• Flexibility to travel outside Lebanon when needed.
Key Responsibilities:
• Manage Chairman’s calendar, schedule meetings, and coordinate appointments with internal and external stakeholders.
• Prepare briefing materials, agendas, and presentations for meetings and events.
• Handle Chairman’s correspondence —emails, reports, and follow-ups.
• Manage access to the Chairman and filter communications efficiently.
• Arrange travel, including flights, accommodations, and transportation.
• Prepare detailed travel itineraries and ensure all logistics are handled in a timely and professional manner.
• Organize and coordinate executive-level meetings, board meetings, and corporate events.
• Take minutes, track action items, and ensure timely follow-up on decisions made during meetings.
• Handle sensitive information with the highest level of confidentiality and integrity.
• Represent the Chairman in a professional manner in all interactions.
• Build strong relationships across all levels of the organization to facilitate communication and collaboration.
• Monitor and manage key deadlines, projects, and priorities on behalf of the Chairman.
• Maintain organized records and files, both digital and physical.
• Perform any additional tasks or responsibilities as requested by the Chairman
