Administrative Officer

Description:
The selected candidate will provide administrative support to the employees by performing clerical duties and will serve as a point of contact for the customers and employees by managing their queries.

Tasks and Responsibilities:
1. Generate, maintain, and prepare maintenance-related documents and technical reports, including service schedules, maintenance logs, work orders, and inspection records.
2. Process maintenance requests and service orders received via email or phone, ensuring correct assignment to technicians.
3. Handle inquiries from employees, technicians, and clients regarding maintenance schedules, elevator service status, and follow-up requirements.
4. Communicate with clients to understand their elevator maintenance needs, coordinate service appointments, and ensure timely service delivery.
5. Respond to customer complaints, breakdown reports, and urgent service requests, ensuring proper escalation and follow-up with the maintenance team.
6. Assist with billing activities, including preparing, issuing, and tracking maintenance invoices, contracts, and service agreements.
7. Update and maintain maintenance, service, and customer records, including contract renewals, equipment details, and service history in the system.
8. Manage spare parts orders by receiving parts requirements from technicians and ensuring proper documentation and approval.

Qualifications:
• Bachelor Degree in Business Administration.
• Fresh Graduate, experience is a plus
