Document Controller - Retail

Job Description

Job Responsibilities

· 5+ years of experience in CAD drafting, administrative and documents controller role

· Sound knowledge of latest version of Autocad is expected to achieve accurate LOD drawings.

· Sound knowledge of MS office, MS outlook is expected for day to day reporting.

· 5+ years of experience in CAD and drafting

· Must be technically sound in terms of reading and understanding civil and MEP drawings to achieve accuracy

· Must be good communicator and interpersonal skills to coordinate with external stakeholders like tenants/brand representative, vendor project managers etc and internal stakeholders like RDD, Facility management, Project, and mall management team.

· On receiving the NTC from Leasing team, detail civil and MEP LOD to be created as per site condition, site verification to be coordinated with TDC for accuracy. LOD to be shared with tenant in intro email within 24 hours from NTC received

· Sharing Introduction Mail to tenant with LOD – Verified by assigned TDC’s

· Sharing Temporary Hoarding dimension + Artwork/hoarding criteria to share with Tenant representative ( For existing Hoardings and new Hoardings ) to receive the art work as a separate mail after the intro mail and follow up

· Temporary Hoarding criteria to share with tenants who are vacating where the scope of hoarding comes under the vacating tenant as per the lease clause, sticker to be done by Mall team.

· Hoarding creative once received from tenant to be shared with Marketing Manager for OAM and with HOD for rest of the properties and follow up for approvals.

· Coordinate and assist TDCs to schedule Design and Fitout kick off meetings and sharing the MOM received from respective TDC with tenant. Kick off meeting must be done within 1 week of introduction mail sent date.

· Follow up on the Hoarding graphics to ensure the execution done in 3 days time and to escalate with HOD if the installation is delayed

· Track the handover and opening date as per received NTC, if tenant delaying Design submissions, site handover, fitout progress, opening as per lease agree date, delay letters to be prepared and cross checked with HOD for content accuracy and get signature from HOD and further forwarding with Tenant representative

· Sending Reminders to HOD for concept design and civil drawings and Sajil & Umaise for MEP drawings reviews if its delayed, all reviews to be shared with tenants within 3 working days from the submission received

· Admin has to request for the Leasing & financial clearance in advance to 7 days before the targeted opening date

· In coordination with assigned TDCs, MEP drawings request mail to be share with the Tenant representative once the 3D concept with ceiling levels is approved by the HOD ( Confirm with Mr. Sajil for Avenues and Mr. Umaise for other outlets )

· Pre-Opening check list to be shared as received from the concerned TDC’s with the Tenant Authorized representatives and Fitout contractor ( Separating the scope of submissions. Few documents required from Tenant and Few from the Contractor )

· Mail to share with HM ,Concerned Mall GM, Accounts , FM / Maintenance , Leasing mentioning the store opening date ( Attaching the Generic Undertaking Letter collected from the Tenant on AMC’s attaching all the AMC’s)

· Sending store opening email to management/leasing with shopfront and interior photos on same or next day

· Adding tenant portal with new NTC-released tenants and updating all design submissions/reviews/approvals weekly

· Updating weekly RDD tracker reports every Wednesday with help of all TDCs for the project updates for their respective projects, any date change as per revised NTC to be updated

· Arranging weekly internal RDD review meeting with HOD and all TDCs for the work progress updates and to discuss and resolve any critical issues and challenges in the projects

· Archiving all drawings and preopening documents received from tenant and approvals from RDD.

· Uploading LOD, tenant proposed drawings, approvals from RDD, preopening documents on Lulu portal

Assisting HOD and TDCs with day to day activities like design and fit out kickoff meetings scheduling, design discussion meeting scheduling, invoices processing and coordination with
