Job Description

  • Assists in coodinating the day-to-day operation of the Food and Beverage sections and report accordingly, of any major decision taken which did not require his/her action and any other relevant information.
  • Assist in the duties and responsibilities of the head of F&B
  • Develop service standard with the related F&B section head ensuring alignment with the F&B division and standardization covering as per the Head of F&B direction
  • Ensure that all implemented processs, procedures and follow up are on track within deadline to achieve the optimal expectations.
  • Attend and Conducts daily briefings (if needed), Food and Beverage Meetings and other meetings as needed to obtain optimal results with clear note and minutes
  • Attends and participates to other meetings as required by the administrative calendar.
  • Assists Manager in keeping an up-dated =Policies and Procedures file and up-dated files on all Food and Beverage matters
  • Participates in the preparation of the yearly F&B calendar, quakterky and special events
  • Performs related duties and special projects as assigned.

Admin role

  • Provides and efficient, effective and accurate system of control for all information and paper work
  • Answers incoming telephone calls and either transfers, redirects or takes a message, whilst keeping an accurate record date and time of call.
  • Performs secretarial duties i.e. correspondences and letters typing, function sheets and documents dispatching and other paperwork….
  • Sends, receives and sorts mail as appropriate.
  • Arranges appointments and meetings and take bookings for meeting rooms.
  • Arranges appointments for employees seeking to see senior F&B manager.
  • Updates both F&B head and the personal diaries.
  • Ensures all F&B leaders are informed in advance on scheduled meetings.
  • Assist in Prepares the monthly payroll attendance if needed
  • Attends Department Heads meetings and other strategic meetings whilst producing minutes and distributing them on a later stage.
  • Maintains confidentiality at all times on all matters.
  • Maintains general filing systems in an organized and clear manner.
  • Demonstrates essential overall knowledge of the organization.
  • Complies with the company hygiene and sanitation standards.
  • Actively participates in training and development programs and maximize opportunities for self development.
  • Cooperates, coordinates and communicates with F&B leaders and other departmental Administrative Assistants.
  • Develop the F&B sales team, for booking and handling group booking enquiries
  • Ensures all reservations and requests are confirmed to correctly and within 24 hours.
  • Should be able to issue function sheets.

Qualifications

  • BA in Hospitality Management
  • 1 to 2 years of experience in a similar position.
