Key Responsibilities
· Oversees, assists and manages the handling of – clients’ and prospective clients’ inquiries – via phone, email or mail – with an emphasize on timing and quality
· Monitors, assists and manages the renewal schedule of visa and substantiation of Clients at least three months in advance
· Assists in managing the processing and renewal of UAE residence visas and substantiation for clients (investor, dependents and employees)
· Prepares and oversees the preparation/issuance of extracts, certificates and other documents, and their notarization, legalization, super legalization and certified translation
· Oversees the liaising by the members of the designated team with representatives of the finance unit in respect to issuance and amendments of pro forma invoices, payment monitoring, reminders etc.
· Ensures the accurate and immediate update of the database/checklist of companies / clients of information with the structuring officer.
· Monitors labour and immigration rules and advises clients accordingly
· Any other tasks assigned by the Labour & Immigration Manager
· Have a strong understanding of incorporation and legal structuring for all UAE jurisdictions.
· Drafts quotes and proposals for client’s and prospective client’s inquiries
· Follows up on the quotes, close out sales cycle, and cross sell platform of services.
· Meets with prospective and existing Clients as needed, as well as complete KYC form during client meetings.
· Undertakes due diligence on new and existing files prior to onboarding, and pass the file to the Execution team. Concurrently, liaises directly with the Compliance Manager/Officer as needed (e.g. matters requiring enhanced due diligence).
· Monitors and manages the renewal schedule of companies and use renewals as a means to understand client needs, and cross sell our platform of services.
· Ensures the conduct of compliance review or regular corporate health check on companies to be incorporated, renewed, amended or closed (Corporate health check involves ensuring that a company’s registration is valid, all statutory requirements are met and corporate documents are e.g. registers are up to date and consistent)
· Creates, validates, classifies and update templates of responses, procedure summaries, fact sheets, newsletters etc.
· Sends bulletin periodically to clients regarding new regulations or requirements implemented by the authorities.
· Produces and maintains daily/weekly/monthly/quarterly (or as needed) reports and information reports, for use by management and/or to facilitate monitoring of recurrent tasks
· Networking
In the absence of the Labour & Immigration Manager:
· Drafts and also reviews, draft responses by the Labour & Immigration Specialists to clients’ and prospective clients’ inquiries
· Assists in the monitoring of Labour & Immigration team to proceed with the visa renewals and substantiation.
· Oversees the performance of the members of the designated team, notably as to timing and quality of responses
· Coaches, trains and mentors the members of the designated team reporting to team head, to raise awareness and knowledge of companies’ services and clients’ approach and philosophy
· Creates, validates, classifies and update templates of responses, procedure summaries and similar
· Assists management in continuous development and implementation of file management procedures and filing/retrieving procedures
· Prepares proposals for both inbound and outbound visa formalities for prospective clients
Skills
Experience & Qualifications
· 4 years’ experience in a related field
· Excellent oral and written communication skills in English
· Background in compliance is a plus
