Event Coordinator

Objective

Your role as Events Coordinator is to plan and oversee all events’ aspects and ensure to remain within the budget.


You will also create client requirements, present proposals, establish and maintain a good working relationship with vendors and venues.


Main Tasks

  • Create a yearly event calendar matching the company’s vision and business plan.
  • Create event proposals that align with client requirements.
  • Ensure that the event adheres to the time frame, from start to finish.
  • Oversee on-site event management, including setup and coordination of event activities.
  • Act as the point of contact in building and maintaining strong working relationships with vendors, venues, and contractors.
  • Conduct research and stay up to date on industry trends and developments.
  • Ensure that all events aspects, including but not limited to entertainment, music, performers, guest speakers, venue selection, seating arrangements, dining options, space rental, and guest list, are well planned.
  • Coordinate with the procurement department regarding the acquisition of event printing materials, gifts, and other necessary event deliverables.
  • Handle all corporate gift process in coordination with the procurement.
  • Assist in creating and preparing a yearly projected event plan.
  • Collect all event invoices and expenses in coordination with procurement, ensuring that they are accurately gathered and submitted to the Finance and Accounting department.
  • Create and prepare event budget reports and submit them to the Finance & Accounting department for review and approval.
  • Ensure that the event remains within budget scope.
  • Create effective advertisements for each event in coordination with the Communications, Events & PR team, including print and online advertisements as needed.
  • Prepare and present post-event reports to get actionable insights and improvements for future events.


Qualifications

  • Bachelor’s Degree in PR, Hospitality Management, Marketing, or any related field.
  • 2+ years of experience working in PR or Events Management.
  • Professional proficiency in Arabic and English required.
  • Strategic & Creative thinking skills.

  • Knowledge of event planning and public relations.

  • Exceptional interpersonal skills, written and verbal communication.
