Job Description & Summary

Ensures the smooth operation of the office, by coordinating administrative support across the office and ensures that the office is supported in an efficient and effective manner.

Primary Duties And Responsibilities

Executive Assistant Duties and Responsibilities:

Diary Management

Extensive management of online diaries, book appointments and arrange meetings, updates as required

Proactive planning for Executive/s meetings and follow up actions (documents, papers needed…)

Proofread and finalize documents when required i.

e.

slide deck presentations, proposals, letters

Ensure Executive/s get to meetings on time with appropriate documentation

Act as back up in managing other Executives’ and Principals’ diaries when their EAs are not available

Handle and screen calls for Executive/s, pass messages in a timely manner

Maintain and build good working relationships with Executive/s clients and their assistants via phone and email communication

Serve as a member of the Assurance Back Office Team, particularly when a team member is on leave.

Support in logistics and organizational tasks of office CR Initiatives

Coordinate with Regional TLs and volunteering to EA projects

Assist other EAs during busy periods

Ad Hocs Requests

Exercise confidentiality, discretion and personal sensitivity in all aspects of the role

Comply with PwC policies and procedures in all aspects of the role

Office Management Duties And Responsibilities

Responsible for the PwC Discount Catalog, which involves sourcing new vendors, registering them, and conducting all necessary risk checks.

Manage seating and room reservation logistics on relevant floor

Collaborative professional with strong teamwork skills, providing coverage for OM team members as needed, primarily focusing on the billing process and managing the reception area.

Provide support for the logistics and catering of certain office events

Facilitate New Hire on-boarding process via coordinating inductions with Office Manager

Adhere to the allocated budget for the Office Services function and propose costs saving solutions as appropriate

Assist in OM Budget

First Aid advocate

Handle ad hoc requests and reports arising issues to the Office Manager

Adhere to policies and procedures set by management
