Job Description
We are seeking a highly experienced and skilled Executive Assistant to provide top-level support to our CEO. The ideal candidate will possess extensive experience in an executive role to senior executives, preferably within the architecture design, or engineering industries. In addition, you must have an excellent command of the English language and strong IT skills, including proficiency in AI tools and applications.
Responsibilities
Business Support:
· Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements, to ensure optimal time management and efficiency.
· Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing
communications and requests on behalf of the CEO.
· Prepare and coordinate materials for meetings, presentations, and reports, ensuring accuracy and timeliness.
· Conduct research, compile data, and prepare briefing documents to support the CEO in decision-making and
strategic planning.
· Assist in the organization and execution of key business initiatives, projects, and events, collaborating with cross-functional teams as needed.
· Handle confidential and sensitive information with the utmost discretion and professionalism.
Personal Assistance:
· Manage the CEO's personal calendar and commitments, coordinating personal appointments, family events, and
Other obligations.
· Handle personal correspondence, emails, and phone calls, responding on behalf of the CEO as appropriate.
· Arrange personal travel arrangements, accommodations, and other logistics as needed.
· Assist with personal errands, household management, and other ad-hoc tasks to support the CEO's work-life balance.
· Act as a trusted confidant and advisor to the CEO, providing support, guidance, and assistance in both professional and personal matters.
· Handle real estate tasks, including property management, acquisitions, leases, and negotiations, to support the CEO’s strategic initiatives and operational needs.
Qualifications
· Bachelor’s degree in Business Administration, Management, or a related field.
· Minimum 7+ years of experience in an executive assistant role to senior executives.
· Industry experience in architecture design, engineering, or similar fields is highly desirable.
· Excellent organizational and time management skills.
· Strong communication and interpersonal skills, with an excellent command of the English language.
· Advanced IT skills, including proficiency in Microsoft Office Suite, project management software, and familiarity with AI tools.
· Experience with travel arrangements, expense reporting, and managing high-level projects is a plus.
· Ability to work independently, manage multiple priorities, and adapt in a fast-paced environment.
