Executive Assistant in IT & Tech

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO & Founders of our fast-growing web hosting company. The ideal candidate will manage daily administrative tasks, scheduling, meeting notes, and accompany the CEO to important meetings. This role requires excellent communication skills, discretion, and the ability to work in a dynamic, fast-paced environment.

Key Responsibilities:


Calendar Management:

Manage and coordinate the CEO’s calendar, scheduling meetings, events, and appointments efficiently.

Ensure there are no conflicts and provide reminders for upcoming meetings or tasks.

Schedule and organize internal and external meetings, including with clients, partners, and the leadership team.


Meeting Preparation and Follow-Up:

Prepare agendas, presentations, and other relevant materials for meetings.

Attend meetings with the CEO and take detailed notes, ensuring follow-up on action items.

Distribute meeting minutes, manage communication between departments, and follow up on key decisions.


Task Management:

Help the CEO manage day-to-day tasks, setting priorities and tracking deadlines.

Organize tasks and ensure the CEO stays on top of projects and to-do lists.

Travel Arrangements:

Organize and manage travel logistics, including flights, accommodation, and transport.

Accompany the CEO on trips and meetings, ensuring all logistical details are handled smoothly.


Communication:

Act as a point of contact between the CEO and internal/external parties.

Handle email correspondence, phone calls, and other communication tasks.

Manage confidential information with discretion.


Administrative Support:

Handle general administrative tasks, such as document management, filing, and office organization.

Ensure smooth office operations and assist with any additional administrative tasks as needed.


Requirements:

Experience: Proven experience as an Executive Assistant, Personal Assistant, or in a similar role, ideally supporting C-level executives.


Skills:

Excellent organizational and time management skills.

Strong communication skills, both written and verbal.

Proficiency with office software (Microsoft Office, Google Workspace) and calendar tools (Google Calendar, Outlook, etc.).

Ability to handle sensitive and confidential information.


Attributes:

Proactive, with the ability to anticipate the CEO’s needs.

High attention to detail and the ability to manage multiple tasks simultaneously.

Flexible and adaptable, able to work under pressure in a fast-paced environment.

Willingness to travel and accompany the CEO to meetings.


Education: Bachelor’s degree or equivalent experience preferred.


Preferred:

  • Experience working in the tech or web hosting industry is a plus.
  • Familiarity with basic tech and hosting-related terms and concepts to support CEO in industry-specific meetings.
