Position Title: Personnel Clerk

Reports To: HR Manager
Job Summary:
The Personnel Clerk is responsible for supporting the HR department in maintaining accurate employee records, ensuring compliance with company policies, and assisting with administrative HR functions such as time attendance tracking and filing. This role is essential for ensuring the smooth operation of personnel-related activities.

Key Responsibilities:
Employee Records Management:

Maintain and update employee personnel files, ensuring confidentiality and accuracy.
Prepare and organize HR-related documents such as employment contracts, memos, and performance reviews.
Time and Attendance:

Monitor and record employee attendance, absences, and overtime.
Coordinate with supervisors to verify and address attendance discrepancies.
Prepare and submit attendance reports to the HR Manager.
Filing and Documentation:

Organize and maintain both physical and digital filing systems for HR documentation.
Ensure timely retrieval and archiving of documents.
HR Administrative Support:

Assist in the onboarding process by preparing employee files and documentation.
Respond to employee inquiries related to leave balances, attendance, and other personnel-related matters.
Support payroll processing by providing accurate attendance data.
Compliance and Policies:

Ensure employee records and attendance processes comply with company policies and legal requirements.
Keep updated on company policies to assist employees effectively.
General Office Duties:

Handle correspondence related to HR tasks, such as emails and letters.
Assist the HR Manager with additional tasks and projects as required.
Qualifications:
High school diploma or equivalent; additional certification in HR or administration is a plus.
1–3 years of experience in an administrative or clerical role, preferably in HR.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with time attendance systems and basic HR software.
Skills and Competencies:
Strong organizational and time-management skills.
Attention to detail and accuracy in record-keeping.
Good written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information.
Team-oriented with a proactive attitude
