Executive Assistant (100% Remote)

Mina is a dynamic startup in e-commerce logistics and fulfillment. We are looking for an adaptable, proactive Executive Assistant to support our CEO across diverse operational, sales, and strategic tasks. This role also involves supporting a fully French-speaking IT consulting project, so basic to intermediate French is needed.


Key Responsibilities

  • Communication & Coordination: Act as the primary point of contact between the CEO and internal/external stakeholders, including French-speaking partners and Chinese suppliers.
  • Project Management: Oversee various projects (both internal and client-facing), utilizing project management tools to track progress and maintain deadlines.
  • Sales & Business Development Support: Assist with sales-related activities, preparing presentations and materials in English or French as needed.
  • Documentation & Reporting: Draft, proofread, and manage company documents, reports, and correspondence in both English and French.
  • Administrative Tasks: Handle administrative duties such as invoice processing, meeting minutes, and expense tracking.
  • Policies & Procedures: Develop and refine internal SOPs (Standard Operating Procedures) to streamline company operations.
  • Social Media & Marketing: Help plan, schedule, and post content across the company’s social media channels; track engagement and suggest content improvements aligned with our brand voice and sales initiatives.
  • CEO Personal Projects: Coordinate personal projects and tasks for the CEO, ensuring smooth and timely execution.


Required Qualifications

  • Bachelor’s degree in Business Administration, Project Management, or related field.
  • Proven experience as an Executive Assistant in a startup or fast-paced environment.
  • Language Skills: Fluent in English (written & spoken); basic to intermediate French proficiency (especially written).
  • Technical Proficiency: Comfortable with project management tools (e.g., Trello, Asana), Google Workspace/Microsoft Office, and other digital collaboration platforms.
  • Exceptional organizational and time-management abilities.
  • High level of discretion, with the ability to handle confidential information sensitively.
  • Remote Readiness: Reliable, high-speed internet and a workspace conducive to a fast-paced remote environment.


Preferred Qualifications

  • Experience working with international stakeholders.
  • Familiarity with CRM systems or data analytics tools.
  • A track record of project-based or consultancy experience.
