Job Summary:
The Personal Assistant will provide dedicated administrative and organizational support to the Export Manager. This role involves coordinating day-to-day activities, ensuring smooth communication, and assisting in the management of export operations. The ideal candidate should be resourceful, detail-oriented, and comfortable working in a dynamic, deadline-driven environment.

Key Responsibilities:
Administrative Support:
Manage the Export Manager’s calendar, schedule meetings, and coordinate appointments.
Arrange travel plans, including flights, visas, and accommodations for export-related trips.
Organize and maintain records of correspondence, contracts, and export documentation.
Prepare reports, presentations, and data sheets as requested by the manager.
Act as a liaison between the manager and internal/external stakeholders.
Export Coordination:
Assist in the preparation and verification of export documents, such as invoices, packing lists, and certificates of origin.
Monitor export shipments to ensure compliance with schedules and regulations.
Communicate with freight forwarders, customs agents, and clients to address and resolve export-related queries.
Research export market trends, trade regulations, and competitor activities.
Communication and Liaison:
Respond to emails and calls on behalf of the Export Manager.
Draft and proofread professional correspondence related to export operations.
Ensure smooth communication between departments such as logistics, sales, and supply chain.
Support and Problem-Solving:
Address shipment issues, delays, or discrepancies promptly, escalating them to the Export Manager when necessary.
Maintain a tracking system for export activities to meet deadlines effectively.
Assist in monitoring budgets and preparing expense reports for export activities.
Qualifications and Skills:
Education: Bachelor’s degree in Business Administration, International Trade, or a related field (preferred).
Experience: At least 2 years of experience in administrative roles or export-related support.
Skills:
Excellent organizational and time-management abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Knowledge of export documentation and procedures is an advantage.
Ability to maintain confidentiality and manage stress effectively.
Work Environment:
Office-based role with occasional travel for export-related purposes.
Collaboration with teams in logistics, supply chain, and international clients.
