Job Summary:
We are seeking a highly organized and proactive Administrative Assistant to join our firm. The ideal candidate will provide essential administrative support to our team, ensuring efficient office operations and client satisfaction. This role requires attention to detail, excellent communication skills, and the ability to handle sensitive information with discretion.

Key Responsibilities:

Provide general administrative support to other departments.
Manage and organize client files, documents, and case files (both digital and physical).
Schedule and coordinate meetings, appointments, and conferences.
Handle incoming calls, emails, and correspondence, ensuring proper routing and follow-up.
Prepare and proofread documents, correspondence, and reports.
Maintain office supplies and equipment, ensuring availability and functionality.
Assist in billing and timekeeping processes, including data entry into the firm’s billing system.
Draft and file documents and pleadings, ensuring compliance with deadlines and procedures.
Coordinate travel arrangements.
Assist with research tasks and data entry as requested by managers.
Ensure confidentiality and compliance with firm policies and legal standards.
Qualifications:

Proven experience as an administrative assistant, or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Strong organizational skills with the ability to prioritize tasks and manage time efficiently.
Excellent written and verbal communication skills.
Ability to work under pressure and meet deadlines.
Attention to detail and high degree of accuracy.
Discretion and the ability to handle confidential information.
Education:

Bachelor’s degree in Business Administration
