Executive Personal Assistant

We are seeking a highly organized and proactive Executive Personal Assistant to support our owner in the investment and daily operation The ideal candidate will play a critical role in managing the daily operations and administrative tasks of our executives, ensuring efficiency and effectiveness in their work. This position requires a blend of administrative expertise, strong communication skills, and the ability to handle confidential information with discretion. The Executive Personal Assistant will also be responsible for coordinating schedules, managing correspondence, and serving as a liaison between executives and internal/external stakeholders.

Responsibilities:

  1. Manage and maintain executives’ schedules, including appointments, meetings, and travel arrangements, ensuring optimal time management.
  2. Prepare and edit correspondence, reports, and presentations, ensuring clarity, accuracy, and professionalism.
  3. Act as the primary point of contact between executives and internal/external stakeholders, fostering positive relationships.
  4. Conduct research and compile information for meetings, presentations, and reports, ensuring executives are well-prepared.
  5. Assist in project management by tracking deadlines, deliverables, and follow-ups, ensuring timely completion of tasks.
  6. Handle confidential information with utmost discretion, maintaining the integrity and security of sensitive data.
  7. Coordinate events and meetings, including venue selection, logistics, and catering, to ensure seamless execution.
  8. Manage and schedule domestic staff (housekeepers, chefs, drivers, gardeners, etc.); handle hiring, training, and performance evaluations.
  9. Oversee the day-to-day running of the household, ensuring it remains clean, organized, and fully functional.
  10. Assist with travel arrangements, itineraries, and household calendars for the employer and family members.
  11. Maintain an organized filing system for documents, both physical and electronic, ensuring easy access to important information.

Preferred Candidate:

  1. Proven experience as an executive assistant or in other administrative roles.
  2. Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  3. Strong leadership and organizational skills.
  4. Excellent communication and interpersonal abilities, with a keen attention to detail.
  5. Ability to work independently and manage multiple projects simultaneously, demonstrating initiative and problem-solving skills.
  6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  7. A proactive approach to work, with a commitment to delivering high-quality results.
  8. Strong interpersonal skills, with the ability to build relationships at all levels of the organization.
  9. Flexibility and adaptability to changing priorities and demands in a fast-paced environment.
  10. Willingness to work flexible hours, including evenings, weekends, and holidays as needed.
