DUTIES & RESPONSIBILITIES:
• Answer telephones and give information to callers, take messages or transfer calls to appropriate individuals.
• Greet visitors and callers, handle their inquiries and direct them to appropriate persons according to their needs.
• Open, read, route and distribute incoming company info-mail in a proper manner.
• Set up and maintain paper and electronic filing systems for records, correspondence and other materials.
• Responsible for file validation and document controlling. Before submitting a document or file must first be checked, processed further and make sure that all files submitted are approved by the concerned and superior in charge.
• Establishes and maintains office files, logs, indexes, control records, or other information concerning the work.
• Restock supply closet with printing paper, ink, pens, paper clips, staplers, files and folders, and correction fluid …. All office utensils.
• Filing and archiving of documentation to facilitate easy retrieval when requested.
• Input document information into the standard registers/Software, ensuring proper document classification, sorting, filing and proper archiving. Track and log all incoming and outgoing documents.
• Process and prepare documents, such as business or government forms.

SKILLS & KNOWLEDGE REQUIREMENTS:

• Bachelor degree in business management or equivalent.
• Sufficient formal and/or informal training to provide the ability to read and write at a level consistent.
• English grammar, punctuation, and spelling.
• Standard types of office filing systems, proper telephone etiquette and techniques.
• Standard office software applications
