Job Title: Administrative Executive Assistant to the CEO
Location: Zalka, Lebanon
Work Schedule: 4:00 PM – 1:00 AM (Monday – Friday)
Role Summary
We are looking for a highly organized, professional, and proactive Female Executive Assistant to provide high-level administrative support to our CEO. This role is critical for ensuring the CEO’s operations remain seamless during evening hours. You will serve as the primary point of contact for internal and external stakeholders, managing everything from complex calendars to urgent business correspondence with absolute confidentiality and grace.
Key Responsibilities
• Executive Support: Manage the CEO’s professional and personal calendar, scheduling meetings, and ensuring no overlaps.
• Late-Shift Coordination: Handle communications, emails, and calls during the 4 PM – 1 AM window, acting as a filter for the CEO.
• Travel & Logistics: Arrange detailed travel itineraries (flights, hotels, transport), often coordinating with international time zones.
• Documentation: Prepare reports, meeting minutes, and high-quality presentations. Handle sensitive files with strict confidentiality.
• Liaison: Act as the "gatekeeper," communicating on behalf of the CEO with partners, clients, and department heads.
• Office Management: Ensure executive tasks are completed before the start of the next business day.
Requirements & Qualifications
• Experience: Minimum of 3–5 years in an Administrative Assistant or Executive Support role.
• Shift Flexibility: Must be fully committed to and comfortable with the 4 PM – 1 AM schedule.
• Communication: Exceptional command of English (both written and verbal); additional languages are a plus.
• Tech Proficiency: Expert knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools (Google Calendar/Outlook).
• Character: High emotional intelligence, discretion, and the ability to stay calm under pressure.
• Education: Bachelor’s degree in Business Administration, Literature, or a related field
