About the Role:

This is a full-time Executive Administrative Assistant role. The EA will be responsible for the CEO primary support. Planning, and orchestrating work to ensure that senior executives' priorities are met, organizational goals are achieved, and best practices are upheld. Managing communication, legal compliance, and reconciliation. Managing schedules, handling confidential information, making travel arrangements, acting as a liaison, and providing support to the board of directors, as directed. In Addition, the AE will be responsible for arranging and handling all logistics for board meetings and events including schedules, agendas, and recording meetings.


Educational Requirements:

Degree in Business Management: A Bachelor’s Degree in Business Administration, management, or a related field is required. A Master's Degree is a plus.


Responsibilities:

  • Provide personal assistance to the CEO, including personal scheduling. Scheduling meetings, and coordinating agendas, mail, email, and phone calls.
  • Manage suppliers' and stakeholders' requests and act as liaison, as needed.
  • Manage all executive meetings by organizing board meetings (Premises identification, itinerary, meeting agenda & prerequisites). Recording minutes of meetings, aligning with legal, and dispatching board resolutions to members.
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and related requirements.
  • Collaborate across teams on activities and initiatives. Organizing communications and planning events both internal and off-site.
  • Office management and logistics including organizing and running meetings and company events.
  • Maintaining a filing system for all database contacts and legal documents. Generating monthly reports, and presentations, providing administrative and office support, and spreadsheet creation.
  • Assist in searching for new market segments directed by the CEO, through developing a research plan including collecting and analyzing data and submitting findings.
  • Maintain professionalism and strict confidentiality with all materials.

Skills

Experience and Required Skills:

  • Four or more years of experience in an administrative role reporting directly to upper management, preferably in a multidisciplinary field.
  • Excellent verbal and written communication skills for interaction with diverse stakeholders.
  • Strong organizational and time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Ability to develop or create internal processes and filing systems.
  • Ability to generate accurate reports, record minutes of meetings, and prepare presentations for the CEO.
  • Strong executive administrative support and office management skills.
  • Proficiency with office productivity tools (Word, Excel, PowerPoint…) and search engines, and an aptitude for learning new technology and software systems.
  • Flexible team player and willing to adapt to diverse backgrounds.
  • Ability to handle sensitive information with discretion and integrity.
  • Ability to travel several times a year for company events, as needed.
