Intellectual Property (IP) Administrator

We are seeking an IP Administrator to join our IP Support Services team in Beirut.


The IP Administrator will be responsible for various IP-related tasks including docketing, data entry, system updates, couriers, and document legalization before the notary public and embassies.


This position requires managing tasks both inside and outside the office.


Requirements


Experience:

  • 1-2 years of experience in an administrative role, preferably in an IP or legal setting


Education:

  • Diploma or bachelor’s degree in business administration, or a related field


Languages:

  • Fluent in English and Arabic, both written and spoken


Computer skills:

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to work on case management systems


Other skills:

  • Strong organizational and multitasking abilities
  • Attention to detail and accuracy in data entry and document handling
  • Flexibility to manage errands outside office as required


Responsibilities


1- Docketing and Data Entry:

  • Manage and maintain docketing systems, ensuring all deadlines and actions related to trademarks, patents, and other IP matters are tracked accurately
  • Input, update, and maintain IP data in internal databases and systems
  • Assist in generating reports from the system when required


2- Courier and Document Handling:

  • Coordinate with the IP team on the delivery and receipt of documents to and from agents and clients
  • Track all sent and received documents to ensure timely and secure delivery


3- Document Legalization:

  • Facilitate the legalization process of IP-related documents with notary publics and embassies
  • Ensure all necessary steps are followed for successful document certification and legalization as required


4- Expense Booking on ERP (D365):

  • Efficiently record and manage expenses related to assigned tasks using D365


5- Office Errands:

  • Performing office-based administrative tasks
  • Performing tasks outside the office, such as delivering documents to government offices or embassies


6- Document Archiving:

  • Maintain organized physical and digital files for all IP matters
  • Archive documents securely while ensuring easy retrieval when needed
