Asset Management Specialist

Job Overview:
The Asset Management Specialist is responsible for overseeing the tracking, maintenance, and disposal of the organization’s physical assets. Working closely with the Head of Cost Control, Procurement, and Asset Management, the Asset Management Specialist ensures assets are properly accounted for, maintained, and utilized efficiently.

Duties and Responsibilities:

Asset Tracking & Documentation:
- Maintain and update the asset register, ensuring all physical assets are accurately tracked and recorded in the system.
- Ensure that all assets, including machinery, equipment, and IT assets, are tagged, inventoried, and tracked through their lifecycle from acquisition to disposal.
- Prepare and maintain detailed records of asset conditions, warranties, and service histories.
- Perform regular checks to ensure asset records match physical stock.

Asset Maintenance & Optimization:
- Coordinate preventive maintenance schedules for all assets and ensure assets are serviced on time to avoid breakdowns and minimize downtime.
- Work with relevant departments to ensure proper utilization of assets and reduce asset underuse or overuse.
- Monitor the condition of assets and recommend repairs, upgrades, or replacements as necessary to extend their lifespan and maximize their value.

Asset Audits & Reporting:
- Conduct regular physical audits of assets and reconcile them with the asset management system to ensure accuracy.
- Identify and investigate discrepancies between recorded and actual asset counts.
- Assist in preparing reports on asset performance, maintenance activities, and inventory levels for the Head of Cost Control,
Procurement, and Asset Management.
- Ensure compliance with internal audit requirements and external regulatory standards regarding asset management.

Asset Disposal & Write-Off:
- Coordinate the proper disposal of obsolete, damaged, or unneeded assets, ensuring compliance with environmental and legal requirements.
- Manage asset write-offs and ensure that records are updated accordingly to reflect the disposal or sale of assets.
- Collaborate with relevant departments to ensure proper documentation and approval processes for asset disposal.

Procurement & Supplier Coordination:
- Support the procurement process by providing asset lifecycle information to the procurement team for new acquisitions.
- Assist with vendor management, including coordinating warranty, maintenance, and repair services with external service providers.
- Ensure that asset purchases are in line with organizational needs and budget constraints.

Cost Control & Budgeting:
- Assist in budgeting for asset maintenance, repairs, and replacements by providing accurate data on asset status and expected costs.
- Track costs related to asset maintenance and repair, ensuring adherence to the budget and identifying areas for cost savings.
- Provide regular updates to the Head of Cost Control on asset-related costs, highlighting trends or areas for concern.

Compliance & Risk Management:
- Ensure asset management processes comply with organizational policies, industry standards, and legal requirements.
- Perform risk assessments related to asset security, maintenance, and usage, implementing corrective actions as needed.
- Stay informed on industry best practices and emerging technologies for asset management.

Training & Support:
- Provide training and support to staff on proper asset usage, maintenance, and reporting.
- Assist the Head of Cost Control in educating team members on best practices for asset management and asset lifecycle management.

Qualifications:
- Between 1 and 2 years of experience in related field
- Bachelor’s degree in business administration or any related field
