Job purpose
The Documentation Officer plays a vital role in the logistics and supply chain process by managing all documentation related to the import and export of goods. The role ensures that all shipment-related documents are accurate, compliant, and delivered in a timely manner to support seamless logistics operations and regulatory adherence.
Duties and responsibilities
• Prepare, review, and process all import/export documentation including invoices, packing lists, bills of lading, certificates of origin, and customs declarations.
• Coordinate shipment bookings with freight forwarders, shipping lines, and carriers to ensure on-time dispatch and delivery.
• Follow up on the status of shipments and ensure timely submission and receipt of all relevant documents.
• Ensure all documentation complies with international trade laws, customs regulations, and internal standards.
• Liaise with internal departments (e.g., sales, procurement, finance) to share and confirm shipping documents as needed.
• Share shipping and clearance documents with clients and agents in a timely and organized manner.
• Handle the release of goods and manage related formalities including delivery orders, clearance, and port processes.
• Maintain an organized filing system of all shipping and logistics documents for audit and compliance purposes.
• Monitor document deadlines and proactively resolve any discrepancies or delays.
• Assist in coordinating with customs brokers and third-party service providers.
• Support continuous improvement initiatives within the logistics documentation process.
Qualifications
Education:
• Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field.
Knowledge, Skills and Abilities:
• Solid knowledge of shipping processes, Incoterms, and customs regulations.
• Proficiency in MS Office (especially Excel and Outlook).
• Familiarity with ERP or logistics management systems is a plus.
• Excellent communication and coordination skills.
• Strong attention to detail and organizational ability.
• English and French is a Must.
Experience:
• 2 to 3 years of experience in logistics documentation, import/export operations, or freight forwarding
