Experience & Qualifications
• Experience: 3 to 5 years in a coordination or administrative role related to logistics, documentation sales, supply chain, or operations (FMCG, food distribution, or import/export sectors preferred).
• Educational Background: Bachelor’s degree in Business Administration, Supply Chain Management, Marketing, or a related field is preferred.
Key Responsibilities
Orders Preparations & Reporting
• Prepare tailored client offers based on Brand Manager’s guidelines.
• Issue proforma invoices and finalize invoices for all sales transactions.
• Follow up with clients to confirm receipt of goods and ensure satisfaction.
• Handle potential claims related to any shipment arrival. Checklist applies
• CRM-related tasks: ensure accurate data entry of updates related to executed operations.
Operations / Logistics / Documentation
• Execute shipment-related documentation, ensuring high accuracy and attention to detail.
• Track ongoing shipments and report expected arrival timelines.
• Notify immediately of any early arrivals or delays.
• Perform additional operational and logistical tasks as required for specific shipments. Checklist applies
Supply Organization
• Coordinate incoming deliveries from multiple suppliers and origins, ensuring alignment with order schedules and warehouse timelines. (stock products and drop shipped products)
• Update price lists for stocked items on a weekly, monthly, and quarterly basis; revise the master offer list accordingly.
• Communicate weekly with the warehouse team regarding expected stock movements (Stock Movement Report – previously in-out).
• Upon delivery, verify accuracy with warehouse team and verify that goods match supplier documents and invoices (Quality Control Checklist).
• Compile supplier invoices into a regular finance report and follow up to ensure timely payment.
