Administrative Assistant

Role Purpose:

§ To assist the department in the daily business activities by gathering and updating SC operations data and issuing related periodical reports.


Key Accountabilities:

A-  Data Management & Data control:  

§ Checks BCTC and the clearing process status on a daily basis and updates the Access Customized Program (OM) accordingly.

§ Follows up and checks invoices & credit notes from shipping, clearing agents & transporters

§ Maintain the undertaking log file (اقرار و تعهد)


B-  Coordination & reporting:

§ Assists the Supply Chain team members in securing freight quotations and related invoices & credit notes.

§ Coordinates appointment and bookings related to meetings.

§ Prepares reports on regular basis:

- Daily (container log file, Pharma log file, progress reports, etc.)

- Weekly (Pharma coolers, stock value, etc.)

- Monthly (charity reports, near expiry lists, etc.)


C-  Other activities :  

§ Performs Messenger routing log file and overtime summary report

§ Utilizes file registration and recording system for incoming/outgoing memos, etc.

§ Composes routine internal and external correspondence as per supervisor’s request.

§ Makes travel arrangements to the direct supervisor and department staff who are on business travel assignments.

§ Controls cleaning staff’s performance and reports non conformities to administration.

§ Assist the Supply Chain team members in any additional administrative issues.

§ Sends a Request for maintenance and follow up till resolution of the case.

§ Prepares studies & reports requested by SC Manager and Operation director.

§ Undertakes any other assignment as per her direct superior’s instructions.


Qualifications:

§ Bachelor’s degree preferably in business or supply chain

§ Any other certification in logistics field is a plus


Experience:

§ Preferably 1-2 years’ experience in a similar position in a supply chain department or similar operational field


Skills and Knowledge:

§ Computer literacy: MS Windows applications (Word processing, Excel proficiency is a must).

§ Ability to make a decision or solve a problem by using logic to identify key facts, explore alternatives, and propose quality solutions.
