الوظائف الأساسية: يوفر مسؤول برنامج الطلاب الجدد الدعم الأساسي للطلاب الجدد من خلال توضيح سياسات الجامعة، والمساعدة في تخطيط الدورات، والمساعدة في التسجيل. كما يتضمن الدور الإشراف على التوجيه، إدارة برنامج الإرشاد، وتنظيم الفعاليات للطلاب الجدد.
1. الواجبات المؤداة:
مستشار تسجيل FAS
الإرشاد العام
- يُطلع الطلاب الجدد ومن ليس لديهم تخصص رئيسي على سياسات وإجراءات الجامعة
- يتحقق من أن الطلاب الجدد قد أجروا اختبارات تحديد المستوى الجامعي
- يشرح للطلاب الجدد وللطلاب بدون تخصص رئيسي العمليات الأكاديمية والإدارية في الجامعة وكذلك المعايير المتوقعة للتحقيق
- يناقش مع طلاب FR متطلبات البرنامج
- يرشد الطلاب، بالتنسيق مع مكتب شؤون الطلاب (OSA)، إلى الموارد التعليمية المتاحة، والتعليم المتاح، وتوظيف الطلاب، والمساعدات المالية، والمنح الدراسية
- يقود طلاب FR من خلال عملية التكافؤ للطلاب الجدد
التسجيل
- يخطط مع طلاب FR وبدون تخصص رئيسي جداولهم الدراسية مع الإشارة إلى خطة دراستهم الموصى بها
- يساعد FR وطلاب بدون تخصص رئيسي في فهم الأنواع المختلفة من العرائض، والمواعيد النهائية، والإجراءات المرتبطة بالتسجيل والأنشطة الأكاديمية الأخرى

رصد أداء الطلاب
- يحافظ على سجل الإرشاد الطلابي المحدث في أرجوس، مع الحفاظ على سرية معلومات الطلاب
- يحمي خصوصية معلومات الطلاب
- يقدم الاستشارات خصوصاً عند بداية ونهاية الفصل الدراسي
منسق برنامج الطلاب الجدد
- يراقب ويتتبع التقدم الأكاديمي لطلاب السنة الأولى ضمن البرنامج، يقيم أهليتهم للترقية، وينسق ترقية الطلاب إلى المستوى الصفّي المناسب وفقاً لسياسات المؤسسة.
- يساعد مكتب القبول في التواصل مع الطلاب المقبولين قبل أن يؤكدوا ويجيب على أسئلتهم
- يُراجع ويُحدّث مواد التوجيه للطلاب الجدد
- يجند المرشدين من خلال التوعية والمقابلات، يدرب المرشدين، يعيِّن الطلاب الجدد لمرشدين، ويدير المرشدين على مدار السنة.
- يقدِّم طلبات الدفع المرتبطة في الوقت المناسب للمرشدين، يقيم أداء المرشدين، ويشرف على جميع قنوات وسائل التواصل الاجتماعي المتعلقة ببرنامج mentorship للطلاب الجدد.
- ينظم فعاليات اجتماعية للطلاب الجدد بالتعاون مع المرشدين
- يكون نقطة الاتصال الرئيسية لبرنامج الطلبة الجدد
- يُراجع دورياً ويقترح تحديثات على موقع برنامج الطلبة الجدد، دليل الطالب الجديد، الأسئلة الشائعة لبرنامج الطلبة الجدد، وقسم من الكتالوج المتعلق ببرنامج الطلبة الجدد.
- يدير وحدات FIGs
إدارة الطلاب
- يساعد في مراسم التخرج، يوم الافتتاح UG إلى جانب أعضاء هيئة التدريس والأنشطة الطلابية الأخرى
- يعد تقارير حسب حاجة قسم خدمات الطلاب FAS
- يؤدي واجبات أخرى ذات صلة كما هو مطلوب.
2. جهات الاتصال العملية: اتصالات منتظمة مع مدير برنامج الطلبة الجدد، مدير خدمات الطلاب، موظفي خدمات الطلاب، الطلاب الجدد وبدون تخصص رئيسي، رؤساء الأقسام، أعضاء هيئة التدريس، وموظفي أقسام مختلفة لتبادل، والتحقق، ونقل المعلومات.
3. استقلالية العمل: يبلغ مدير خدمات الطلاب. يعمل وفقاً للإجراءات المعمول بها والمعايير المهنية. الأعمال المكتملة قابلة للمراجعة لاحقاً.
4. المسؤولية الإشرافية: لا شيء.
5. الجهد البدني: جهد بدني منخفض.

الملف المرشح المرغوب
المتطلبات الدنيا: درجة بكالوريوس في أي تخصص بالإضافة إلى 5 سنوات من الخبرة ذات الصلة أو درجة ماجستير بالإضافة إلى 3 سنوات من الخبرة ذات الصلة. الكفاءة في معالجة النصوص وجداول البيانات وبرامج قواعد البيانات الشائعة الاستخدام، بما في ذلك Microsoft Office. الطلاقة في كل من الإنجليزية والعربية. تعتبر المهارات اللغوية الإضافية ميزة. مبادرة قوية، دقة، والقدرة على العمل بشكل مستقل مع إشراف محدود. مهارات تنظيم وإدارة الوقت متميزة. مهارات شخصية واتصال استثنائية.
Job Description
Roles & Responsibilities
Basic Functions: The Freshmen Program Officer provides essential support to freshman students by clarifying university policies, assisting with course planning, and helping with registration. This role also involves overseeing orientation, managing the Mentorship Program, and organizing events for freshman students.
1. Duties Performed:
FAS Registration Advisor
General Advising
- Informs FR and Major-less students of university policies and procedures
- Verifies that FR have taken University placement tests
- Explains to the FR and Major-less students the academic and administrative processes of the University as well as the expected standards of achievement
- Discusses with FR students program requirements
- Guides students, in coordination with the Office of Student Affairs (OSA), to available university educational resources, accessible education, student employment, financial aid, and scholarships
- Guides FR students through the Freshman Equivalence process
Registration
- Plans with FR and Major-less students their coursework schedule with reference to their recommended study plan
- Assists FR and Major-less students in understanding the various types of petitions, deadlines, and procedures associated with registration and other academic activities
- Processes petitions associated with various academic activities such as late adding or dropping of courses, withdrawal, changing majors, or any other appeal
- Follows up on FR and Major-less student registration issues (capacity, IT issues, etc.)
Monitors Student performance
- Maintains up-to-date student advising records on Argos, preserving student information confidentiality
- Protects students privacy of information
- Provides consultation specially at the semester-start and -end
Freshmen Program Coordinator
- Monitor and track Freshman students academic progress within the program, evaluate their eligibility for advancement, and coordinate the promotion of students to the appropriate class level in accordance with institutional policies.
- Assists the Admissions Office in reaching out to accepted FR students before they confirm and answering their questions
- Reviews and updates orientation material for new freshman students
- Recruits mentors via outreach and interviews, trains mentors, assigns freshman students to mentors, and manages mentors throughout the year.
- Submits requisitions for timely payment of mentors, evaluates the performance of mentors, and oversees all social media channels related to the freshman mentorship program.
- Organizes social events for freshman students in collaboration with the mentors
- Serves as the main contact point for the freshman program
- Periodically reviews and proposes updates to the freshman program website, freshman guide, freshman program FAQ, and section of the catalogue pertaining to the freshman program.
- Manages FIGs Modules
Students Administration
- Assists in the commencement exercises, UG open house along with other faculty and student related activities
- Prepares reports as needed by the FAS Students services Section
- Performs other related duties as requested.
2. Work Contacts: Regular contacts with the Director of the Freshman Program, Director of Student Services, Student Services staff, Freshman and Major less students, chairpersons, faculty members, and staff members of various departments offices to exchange, verify, and transmit information.
3. Independence of Operation: Reports to the Director of Student Services. Works according to established procedures and professional standards. Completed work is subject to subsequent review.
4. Supervisory Responsibility: None.
5. Physical Effort: Minimal physical effort.
6. Work Conditions: Clean and pleasant.
Desired Candidate Profile
Minimum Requirements: Bachelor s degree in any discipline plus 5 years of relevant experience or Master s degree plus 3 years of relevant experience. Proficiency with commonly used word processing, spreadsheet, and database software, including Microsoft Office. Proficiency in both English and Arabic. Additional language skills are considered an asset. Strong initiative, attention to detail, and the ability to work independently with minimal supervision. Excellent organizational and time management abilities. Exceptional interpersonal and communication skills.
