Executive Assistant

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.
Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Working hours:
• On-site from Monday till Friday, from 8:30 AM till 5:00 PM (not 100% fixed time)
• On-site Saturday, from 8:30 AM till 1:00 PM (1/2 day)

Duties and Responsibilities :
Business Support:
• Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements, to ensure optimal time management and efficiency.
• Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications and requests on behalf of the CEO.
• Prepare and coordinate materials for meetings, presentations, and reports, ensuring accuracy and timeliness.
• Conduct research, compile data, and prepare briefing documents to support the CEO in decision-making and strategic planning.
• Assist in the organization and execution of key business initiatives, projects, and events, collaborating with cross-functional teams as needed.
• Handle confidential and sensitive information with utmost discretion and professionalism.

Personal Assistance:
• Manage the CEO's personal calendar and commitments, coordinating personal appointments, family events, and other obligations.
• Handle personal correspondence, emails, and phone calls, responding on behalf of the CEO as appropriate.
• Arrange personal travel arrangements, accommodations, and other logistics as needed.
• Assist with personal errands, household management, and other ad-hoc tasks to support the CEO's work-life balance.
• Act as a trusted confidant and advisor to the CEO, providing support, guidance, and assistance in both professional and personal matters.
• Handle real estate tasks, including property management, acquisitions, leases, and negotiations, to support the CEO’s strategic initiatives and operational needs


Minimum & Preferred Qualifications and Experience:
• Bachelor's degree in Business Administration, Management, or a related field.
• 3+ years of experience in an executive assistant role.
• Experience in similar role in a corporate Setting.
• Excellent organizational and time management skills.
• Strong communication and interpersonal skills. Experience with travel arrangements and expense reporting is a plus.
• Ability to work independently and as part of a team.
• Proficiency in Microsoft Office Suite
