Admin Executive

We are looking for a responsible Admin Executive to perform a variety of administrative and clerical tasks. Duties of the Admin Executive include providing support to our managers and employees, assisting in daily office needs, and managing our company’s general administrative activities along with agency traffic. 



The Admin Executive’s responsibilities include: 


• Handling administrative requests and queries from senior managers 

• Organizing and scheduling appointments with admin software 

• Planning meetings and noting down detailed minutes of meeting 


Responsibilities 


• Answering and directing phone calls 

• Organizing and scheduling appointments 

• Planning meetings and noting down detailed minutes 

• Writing and distributing emails, correspondence memos, letters, faxes, and forms 

• Assisting in the preparation of regularly scheduled reports 

• Developing and maintain a filing system 

• Update and maintaining office policies and procedures 

• Ordering office supplies and researching new deals and suppliers 

• Maintaining contact lists 

• Booking travel arrangements 

• Submitting and reconciling expense reports 

• Providing general support to visitors 

• Act as the point of contact for internal and external clients 

• Handling requests and queries from senior managers 

• Prepare and share Proposals (PowerPoint, Excel, Word) 

• Support our Accounting team when needed (Invoices, SOA, Payment follow ups…) 



Requirements and skills 


• Proven experience as an Admin Executive for 6 years + 

• Knowledge of office management systems and procedures 

• Working knowledge of office equipment, like printers and fax machines 

• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) 

• Excellent time management skills and the ability to prioritize work 

• Attention to detail and problem-solving skills 

• Excellent written and verbal communication skills 

• Strong organizational skills with the ability to multi-task 

• High School degree; additional qualifications such as an administrative assistant or Secretary will be regarded as a plus 


Additional information: 


• Full time job 

• Working hours: 

o 9am till 6pm Monday to Friday 

o 9am till 1pm Saturdays 

• Location: Beirut – Lebanon - Dbayeh
