Position Overview
The Personal Assistant provides high-level executive and personal support to the CEO, managing
travel, calendars, meetings, and documentation with complete discretion. Acts as a central
coordinator across internal teams and external partners, ensuring seamless handling of business
and personal matters with exceptional organization, confidentiality, and flexibility across time
zones.
Key Responsibilities
• Manage complex business and personal travel, including multi-city flights, hotels,
transport, dining, and activities; prepare detailed itineraries and briefing packs.
• Send reminders for CEO’s calendar, meetings, and personal commitments.
• Prepare quotations, PRs, and POs, and coordinate approvals and payments with
accounting.
• Handle personal and business payments, petty cash, and expense tracking.
• Organize internal meetings and conferences.
• Manage recruitment and onboarding of the CEO’s personal staff.
• Handle contracts, visas, insurance, employee records, residencies, and personal
documentation and ensure they are up to date.
• Managing documents for approval and signature.
• Follow up with suppliers and ensure all personal arrangements and requirements are
completed efficiently.
• Coordinate with drivers, domestic staff, and external service providers.
• Assist with household administration, documentation, and record-keeping.
• Maintain confidentiality and handle sensitive information with discretion.
• Provide constant availability and support, including outside regular working hours and
during holidays, to handle urgent matters, especially across different time zones.
Minimum Qualification / Experience
• 3+ years supporting senior executives
• Strong organizational and communication skills
• Proven discretion and confidentiality
