Receptionist/operator

The receptionist manages EAM front desk. As first point of contact she is responsible of greeting visitors, and employees helping them navigate through the office. She answers and transfers incoming calls, maintains reception area in addition to other clerical tasks. As an administrative assistant to the HR department, she is in charge of creating new joiner’s hard and soft files, extracting attendance reports and keeping all requested reports updated at all times.

Key Responsibilities:

1- As receptionist
• Answer incoming calls, take messages and transfer them properly
• Greet visitors and staff members in a positive and friendly manner. Assist individuals with queries. Announcing clients as and when necessary.
• Maintain safety and hygiene standards of the reception area
• Keep office records up to date; including faxing, scanning and filing
• Follow up on external cleaners’ attendance, invoices and credit notes
• Maintain and file visitors list
• In charge of consolidating and ordering IT, office and kitchen supplies
• Manage the dispatching of incoming courier
• Assist and support the logistic department in preparing the files when need be

2- As administrative assistant to the HR department
• Create and maintain soft and hard files to the new joiners
• Capture data on the system and create digital ID for all employees
• Create punching codes and make sure proper functioning of the attendance machine in collaboration with the IT coordinator
• Extract and communicate attendance when requested. Responsible for keeping attendance reports accurate at all times
• Create magnetic cards and keep record files updated
• Act as point of contact with the insurance copy writer respective enrollment and cancellation of employees’ policies
• Control and consolidate insurance bordereau before sharing with the accounting department
• Perform other ad hoc reports and data sheets when requested
• Capture all employees’ birthday dates and share them with the concerned parties. Order cakes in coordination with the people committee
• In charge of gathering school registration proofs for schooling allowance administration
• Maintain and update employees’ civil status (wedding, divorce, death, new born) and home address at all times
• Help and assist in filing the accident report

Specifications and skills requirements; Fluent in Arabic & English writing, French is a plus
Minimum high school diploma
Must be presentable and neat at all times
Must be energetic and dynamic
Reliability and trustworthiness are mandatory qualifications
Must be able to organize tasks and have time management skills
Knowledgeable in Microsoft Office
Able to work autonomously and remain calm under pressure
