<p>We are looking for a highly organized, proactive, and versatile Office & Executive Support Coordinator to manage the day-to-day administrative operations of the office while providing direct support to management and the COO.</p><p>The ideal candidate is detail-oriented, reliable, well-organized, and comfortable handling a variety of administrative, executive support, office management, social media, and basic accounting tasks.</p><p><strong>Key Responsibilities</strong></p><p><strong>Office Administration & Management</strong></p><ul><li>Manage the daily administrative operations of the office.</li><li>Ensure the office is organized, clean, well-stocked, and running efficiently.</li><li>Manage office supplies, stationery, kitchen supplies, and other office needs.</li><li>Coordinate purchases, suppliers, maintenance, and office services.</li><li>Handle general office paperwork, filing, documentation, and administrative records.</li><li>Maintain organized physical and digital office files.</li><li>Assist with correspondence, documents, forms, and other administrative tasks.</li></ul><p><strong>Executive & Management Support</strong></p><ul><li>Provide administrative and organizational support to the Manager.</li><li>Assist with scheduling, meetings, appointments, follow-ups, and correspondence.</li><li>Help prepare documents, presentations, reports, and meeting materials.</li><li>Follow up on pending tasks and ensure important matters are properly tracked.</li><li>Provide day-to-day administrative support to the COO.</li><li>Assist the COO with various operational and administrative tasks as required.</li></ul><p><strong>Social Media Support</strong></p><ul><li>Support the social media team with ideas and content suggestions.</li><li>Contribute ideas for social media posts, campaigns, and office/company activities.</li><li>Assist in collecting information, photos, and materials needed for social media content.</li><li>Help coordinate internal activities that can be used for company communication and social media.</li></ul><p><strong>Basic Accounting & Financial Administration</strong></p><ul><li>Assist the accounting department with basic administrative and accounting tasks.</li><li>Prepare and organize invoices, receipts, payment records, and related documents.</li><li>Assist with filing and maintaining financial documentation.</li><li>Follow up on basic administrative matters related to invoices and payments when required.</li></ul><p><strong>Desired Candidate Profile</strong></p><p>Previous experience in office administration, executive assistance, or a similar role.</p><p>Excellent organizational and time-management skills.</p><p>Strong attention to detail and ability to multitask.</p><p>Good written and verbal communication skills.</p><p>Proficiency in Microsoft Office / Google Workspace.</p><p>Ability to handle confidential information professionally.</p><p>Basic knowledge of accounting and financial administration is an advantage.</p><p>Good understanding of social media and content ideas is an advantage.</p><p>Proactive, responsible, flexible, and able to work independently.</p><p>Ability to prioritize tasks and work in a fast-paced environment.</p><p><strong>Key Qualities</strong></p><ul><li>Highly organized and detail-oriented</li><li>Proactive and resourceful</li><li>Trustworthy and discreet</li><li>Good communication and interpersonal skills</li><li>Flexible and willing to support different departments</li><li>Strong follow-up and problem-solving skills</li><li>Positive and professional attitude</li></ul>
