Purpose The Assistant & IM Officer provides (high-level) administrative support and oversees information management, under the supervision of the Executive Assistant & IM Officer. S/he acts as a reference person for information management risk mitigation activities in the delegation. Accountabilities & functional responsibilities Information management: Under the supervision of the Executive Assistant IM Officer (EAIMO): • Practically follows up on the active monitoring of information security practices in the delegation. • Development and monitoring of access policy users have access to the information they need to perform their duties includes group membership and access monitoring. • Manages and monitors collaborative spaces and databases, including access, and updates information in the reference tools. • Ensures transfer of information is done using the correct platforms. • Performs assessment on the use of non-ICRC tools in the delegation the underlying reasons and provides institutional solutions where available. • Monitors the functional mailbox, distributes incoming messages to the relevant interlocutors and departments. • Organizes, supervises and manages the use of a range of collaborative tools (i.e. TS) and databases. • Updates general information in the reference tools (databases or others). • With certain exceptions dictated by the situation, act as access manager and possibly account manager • Drafts and finalizes correspondence, internal presentations, meeting minutes and other documents, shares information among users when needed. Obtain all necessary sign off before project closure;</li><li>Ensure that all stock (commodities, cards, pins, in kind commodities) are managed and stored in line with global standards and donor regulations.</li><li>Review supporting documents provided by local partners as a means of verification for service delivery or payment issuance;</li></ul><ul><li>Compile and analyze cash, commodities food and livelihood project information (including ATM usage reports, bank statements, warehouse reports, distribution records, student attendance records, cash for work beneficiary count, HH payment list…) in order to complete a full programmatic reconciliation on a monthly basis;</li><li>Monitor the the physical inventory exercise that is being conducted by the compliance and reporting officer for all stock under the portfolio on a monthly basis. <p>Responsible for the optimal (cost-effective, timely, quality-service...) execution of assigned instant coffee shipments/deliveries from origin to destination. Work closely with head office, shippers, clients & service providers (banks, shipping lines, warehouses, forwarders, local agents...) towards that end. Key Responsibilities and Accountabilities: Inbound Work with traders on position follow-up and any commercial issues with shippers. Send shipping instructions to shippers (suppliers) in due time. Place booking with shipping lines where required & ensure internal database (SOL/Cargoo) accuracy. Follow-up on sample results where required and update internal database accordingly. Process shipping documents (including upload onto system) and payment to shippers. Issue landing instructions to related warehouses accordingly. Follow-up on potential claims. Liaise closely with shippers, shipping partners & end Clients where relevant to deliver the best services. Check all assigned service invoices to approve the costs. Check stocks in assigned warehouses on a monthly basis & report accordingly. Outbound Work closely with traders on position follow-up and any commercial issues with clients. Send delivery instructions to transporters/warehouses in due time and ensure timely delivery. Issue logistics documents (invoices, release documents, cover letters...) related to assigned sales & instruct/ensure upload of related external documents where required. Work closely with traders & external partners to anticipate execution challenges and advise on potential solutions Advise trading team on logistic costs for specific execution scenarios, and any other logistic aspect of a sales project/ potential business upon request.
